Procurement software vendors quote $30,000–$80,000 per custom API interface almost as a throwaway line in the pricing conversation. If you're the engineer who actually has to build it, here's what's really behind that number.
The four things that actually cost money
1. Auth and SSO setup
Most eProcurement platforms (SAP Ariba, Coupa, Oracle Procurement Cloud, Jaggaer) expose OAuth2 or SAML-based APIs, but each has its own quirks around token refresh, scopes, and rate limits. Budget real time for reading vendor API docs that are, let's say, inconsistently maintained.
2. Data mapping
This is the bulk of the cost. You're reconciling:
- Vendor master records (dedup logic — the same supplier often exists under three different names across ERP and eProcurement)
- GL code mappings (rarely 1:1)
- Approval hierarchies (org charts that don't match what's actually configured in either system)
A simplified mapping record looks something like this:
{
"erp_vendor_id": "V-10234",
"eproc_supplier_id": "SUP-88291",
"gl_code_map": {
"erp_gl": "6100-100",
"eproc_category": "office-supplies"
},
"approval_chain": ["manager", "dept_head", "finance"]
}
Every field in that object represents a decision someone had to make about two systems that were never designed to agree with each other.
3. Punch-out catalog handling
If suppliers use punch-out catalogs (cXML or OCI), you're implementing a round-trip: the user clicks through to the supplier's hosted catalog, builds a cart, and the cart data POSTs back into a purchase requisition. Error handling here — a malformed cart response, a supplier catalog that's down, a session timeout mid-shop — eats more engineering time than the happy path ever does.
4. Testing across environments
Sandbox environments for these platforms are not reliable copies of production. Expect to re-test integration points after every vendor sandbox refresh, and budget for at least one surprise when you go live and discover a field mapping the sandbox never enforced.
Why the range is so wide
One interface at $30k might be a single ERP with clean vendor master data and no punch-out requirement. One at $80k is multiple approval hierarchies, punch-out catalogs from several suppliers, and a legacy ERP with an API that clearly wasn't built with this in mind.
We put together a broader breakdown of what a full eProcurement rollout costs beyond the software license — implementation, training, change management, and the ongoing maintenance line — in a worked TCO analysis across SAP Ariba, Coupa, Oracle Procurement Cloud, and Jaggaer, and built a free, open calculator that models it against your own integration count and team size if you want to run your own numbers.
