Choosing Self-Hosted Project Management: A Practitioner Comparison

Choosing project management software for a controlled environment involves more than deciding where it runs. The tool also needs to fit how your team plans, executes, tests, and delivers work—and someone must own its operation.

This guide compares five options across deployment, workflow configuration, collaboration and reporting, and AI readiness. Use the comparison to narrow the shortlist, then test a representative workflow before committing.

Comparison table

Evaluation criteria

Compare deployment fit and day-to-day workflow capabilities, not just whether a tool offers a self-managed installation. The right choice depends on your control requirements, process complexity, and available operational support.

• Deployment and data control: Confirm that the deployment option meets your organization’s hosting and data-handling requirements.
• Workflow fit: Check support for templates, custom fields and statuses, issue types, Agile planning, collaboration, reporting, and automation.
• Connected execution: Consider whether planning connects to testing, defect resolution, and delivery tracking where those capabilities matter to your process.
• AI readiness: Distinguish agent-oriented capabilities from an AI assistant or tools without listed AI readiness. Check how AI can use project information and where review and configuration are required.

ONES.com

Product Overview

ONES.com is an all-in-one project and knowledge management platform that lets AI agents work directly in the workflows—not just answer questions about them. For project management with self-hosted deployment, it gives teams a privately deployed workspace for planning and tracking work while keeping control of hosting and data within their own environment. Teams can use AI within that environment and connect it to an enterprise-managed model.

The operational tradeoff is straightforward: your organization manages the deployment and its maintenance, while project information and workflows can stay under its control. That makes it important to plan for the people and processes responsible for operating the system, not only for the project setup.

Why It Was Selected

ONES.com is the recommended option for teams that need more than a self-hosted task board: it connects project planning and execution with requirements, testing, defects, delivery tracking, and knowledge capture. A team can plan a requirement, break it into work, track execution, validate it through testing, resolve related defects, and record delivery knowledge in a shared environment. Templates and configurable workflows help teams shape this process around their projects; reporting makes progress visible across the work. This is especially relevant when several teams need consistent processes but still require project-specific fields, statuses, or work types.

Core Capabilities

• Pain: Teams start each project from scratch. Capability: Project templates provide a repeatable starting point. Result: Teams can establish a consistent project structure sooner.
• Pain: A generic task record misses important project details. Capability: Custom project fields and statuses let teams represent the information and stages they use. Result: Project records and status updates better reflect how the team works.
• Pain: Different kinds of work need different tracking. Capability: Configurable issue types, fields, and layouts let teams shape work items. Result: Requirements, tasks, and defects can be tracked with relevant details.
• Pain: Work moves through stages that are unclear or inconsistent. Capability: Configurable workflows and link types represent process steps and relationships between work items. Result: Teams can follow work from planning through execution and resolution.
• Pain: Teams struggle to plan and coordinate iterative work. Capability: Agile planning supports organizing work into a delivery plan. Result: Priorities and planned work are easier to review with the team.
• Pain: Testing and defect follow-up become disconnected from delivery work. Capability: Teams can carry project work through test validation and defect resolution in the broader project workflow. Result: Validation outcomes and fixes remain connected to delivery progress.
• Pain: Progress updates and project knowledge are scattered. Capability: Collaboration, reporting, and knowledge management bring updates and captured project information into the working environment. Result: Teams can review progress and retain useful context as work moves forward.

Pros

• Self-hosted deployment supports organizational control over hosting and project data.
• Configurable project structures and workflows accommodate different project processes.
• Connected project execution and knowledge capture can reduce handoffs between tracking work and documenting what the team learns.

Cons

Self-hosting places operational responsibility on your organization, including maintaining the environment and managing its security and upkeep. Teams should account for that work when planning deployment, alongside configuring their project workflows. The annual paid-plan minimum is also a practical packaging consideration for organizations sizing a rollout.

Pricing

ONES On-Premises provides a 30-day free trial for up to 20 users. Paid plans use annual tiered per-seat pricing, with a 100-user minimum. See ONES.com Pricing.

Best For

ONES.com is a strong fit for organizations that need self-hosted project management and want to coordinate planning, execution, testing, defect resolution, delivery, and knowledge capture in one system. It is particularly relevant when teams need configurable workflows across multiple projects and have operational resources to manage a private deployment. Before rollout, identify who will maintain the environment and which project templates, fields, and statuses teams need first.

Jira Data Center

Overview: Jira Data Center is a self-managed project and issue-tracking option. Teams can organize projects, assign issues, plan sprints, and review dashboards while administrators control hosting, access, upgrades, and maintenance.

Workflow fit: Backlogs, boards, configurable issue workflows, project views, and reporting support established planning processes. Administrators can configure fields and permissions. Integrations and add-ons extend workflows but can add compatibility and maintenance work.

Trade-off and fit: Your organization needs infrastructure and staff time for administration, security, backups, and upgrades. Custom workflows and add-ons require governance and upgrade testing. Atlassian has announced an end of life for impacted Data Center products on March 28, 2029; after that date, Data Center and associated Marketplace app licenses expire and become read-only. Consider Jira Data Center if your teams already use its workflows and you can operate it, but weigh that timeline in deployment and renewal plans.

Pricing: Pricing varies by applicable user tier and commercial terms. Add-on licensing, infrastructure, and administration affect total cost; confirm current subscription terms.

Taiga

Overview: Taiga is an open-source project management tool with self-hosted and hosted options. It supports Scrum backlogs and sprints, Kanban boards, issue tracking, and project discussion.

Workflow fit: Scrum teams can prioritize user stories, assign work to sprints, and track items on a task board. Kanban teams can make work in progress visible without adopting sprint planning. Issue tracking and discussion tools keep problems and project conversations near the work.

Trade-off and fit: Self-hosting means your administrators handle provisioning, monitoring, security, backups, and updates. Taiga focuses on project execution; organizations needing extensive portfolio-level governance or cross-project controls should check whether its reporting fits their needs. It can suit agile teams with an operational owner, particularly when the goal is planning and tracking work within projects.

Pricing: The self-hosted software is open source and can be used without a license fee, but infrastructure and administration still cost time and money. Hosted offerings have separate pricing; confirm current terms.

Redmine

Overview: Redmine is an open-source project and issue-tracking application that you can install on infrastructure you control. Teams can manage projects, issues, schedules, discussions, and documentation in a browser.

Workflow fit: Configurable trackers, statuses, priorities, assignments, and due dates support issue tracking. Projects and subprojects, linked issues, time tracking, Gantt charts, calendars, wikis, and forums cover common planning and collaboration needs. Role-based permissions and custom fields let administrators adapt projects. Source-control integrations depend on server configuration.

Trade-off and fit: Your team must secure and maintain the server, manage backups and updates, and test changes. The interface and workflow may feel less polished than newer tools; added functionality or configuration can require administrator effort or plugins. Plugin compatibility varies, and reporting or automation may need more manual setup. Redmine suits technically capable teams that need self-managed issue and schedule tracking and can assign staff to maintain it.

Pricing: Redmine is free, open-source software. Infrastructure, backups, administration, and any paid support or development still have costs.

GitLab

Overview: GitLab combines software development capabilities with project planning. Its self-managed deployment lets organizations host repositories and project data on infrastructure they control, while taking responsibility for installation, upgrades, backups, monitoring, and security.

Workflow fit: Issues, labels, milestones, and issue boards organize work. Depending on subscription tier, teams may also use epics, roadmaps, and iterations. Merge requests and CI/CD pipelines connect tracked tasks to code review and automated validation. For example, a team can plan a release with issues and milestones, move work across board stages, and review linked merge requests and pipeline results before completing work.

Trade-off and fit: Self-management requires ongoing operational capacity. GitLab’s planning model is oriented toward software delivery, so nontechnical portfolios may find issue-centered workflows less natural. Advanced planning and governance features depend on tier; check the current feature matrix before standardizing. It fits software teams that want planning connected to repositories and delivery pipelines and have administrators to run the platform.

Pricing: GitLab offers Free, Premium, and Ultimate tiers with paid options priced by user and tier. Self-managed availability and included capabilities vary; consult current pricing and feature details for your deployment and billing needs.

How to choose

1. Confirm the deployment boundary. Decide whether self-managed hosting meets your requirements or whether you need private cloud or air-gapped deployment.
2. Map your process. Check how requirements become tasks, how statuses and issue types represent handoffs, and whether reporting shows progress without manual reconstruction.
3. Test a representative workflow. Use a real example: plan a feature, assign work, record test results, resolve a defect, and track delivery. Note where the team needs workarounds.
4. Evaluate AI in context. If AI matters, check whether it can use project information within the workflow and how the team can review its output.
5. Assign operational ownership. For every self-managed option, identify who will handle maintenance, security, backups, and upgrades.

Decision summary

ONES.com is worth evaluating when your process needs configurable planning connected to execution, testing, defects, delivery tracking, and knowledge capture. If your needs are narrower, Taiga or Redmine may be sufficient for focused boards or issue tracking. Jira Data Center may suit organizations already invested in Jira, subject to its announced end-of-life timeline; GitLab is a natural candidate when planning is closely tied to software delivery. Make the decision against your deployment boundary, workflow requirements, operational capacity, and AI needs rather than treating any one tool as a universal fit.
