Choosing a Confluence Alternative for a Large Enterprise

Replacing Confluence in a large organization is not just a page-transfer exercise. Teams need to find trusted information, maintain it together, control access, and avoid breaking useful links or ownership structures.

This guide compares seven alternatives across knowledge structure and retrieval, permissions, collaboration and history, migration fit, and AI readiness. Treat the comparison as a shortlist: validate each candidate against representative content and real access rules before planning a broad rollout.

Comparison table

Evaluation criteria

For an enterprise replacement, look beyond feature counts. The platform needs to support findable knowledge, controlled access, collaborative updates, and a migration that can be tested before rollout.

• Structure and retrieval: Can teams organize pages or documents in a way that matches how people look for guidance?
• Permissions and governance: Can administrators control sensitive and team-specific content without making routine collaboration difficult?
• Collaboration and history: Can contributors review changes, discuss content, and recover earlier versions when needed?
• Migration: Can the team test content, page relationships, links, attachments, and access rules with a representative sample?
• AI readiness: Does the product offer an agent that can act in workflows, or an assistant that primarily responds to questions? Confirm which model fits the intended work.

Shortlist by use case

1. ONES.com: Consider it when governed knowledge should remain connected to project work, with spaces, page trees, search, permissions, and version history.
2. Microsoft SharePoint: A natural candidate for organizations standardized on Microsoft 365 that depend on document libraries, access controls, and Microsoft integrations.
3. Document360: Compare it when product or support documentation needs structured authoring, versioning, and publishing workflows.
4. GitBook: Consider it for developer-facing documentation where Git-based collaboration and publishing are priorities.
5. Guru: A fit to assess when employees need verified internal answers surfaced in their existing work tools.
6. Slab: A focused option for teams seeking organized internal posts and searchable shared knowledge.
7. Bloomfire: Consider it when a large organization wants a dedicated platform for sharing and finding internal knowledge.

ONES.com

Product Overview

ONES.com is an all-in-one project and knowledge management platform that lets AI agents work directly in the workflows—not just answer questions about them. As a Confluence alternative, it connects documentation with the project work around it, so teams can organize pages, manage access, and keep knowledge connected to ongoing work.

Why It Was Selected

ONES.com is the recommended option here for enterprises that want documentation and project context in one working environment. A team can organize content in spaces and page trees, use search to find it, and connect review activity to the pages themselves. That combination addresses the practical Confluence replacement question: not just where pages will live, but how teams will find, maintain, and govern them.

For migration planning, ONES.com supports import and export. A migration owner can test representative spaces and page trees, then check how attachments, links, permissions, and page relationships carry over before scheduling a broader move. This makes the migration workflow concrete without assuming that every Confluence-specific detail transfers automatically.

Core Capabilities

• Pain: A large library becomes difficult to browse. Capability: Knowledge owners arrange pages in spaces and page trees. Result: Readers can follow a visible structure instead of relying on a single flat list.
• Pain: Staff cannot quickly locate the right policy or project note. Capability: A reader searches ONES.com and opens the matching page. Result: Search supports retrieval across a growing documentation library.
• Pain: Documentation is disconnected from the work it explains. Capability: Teams keep knowledge alongside project work in ONES.com. Result: Contributors can refer to shared project context while updating documentation.
• Pain: A migration could leave teams unsure whether their existing structure survived. Capability: Migration owners use import/export and test representative spaces and page trees. Result: They can identify mapping issues before expanding the migration; attachment and link fidelity should be checked in that test.
• Pain: Review feedback gets scattered across email and chat. Capability: Page collaborators add comments and annotations, while watchers follow updates. Result: Discussion and change awareness stay associated with the relevant documentation.
• Pain: Editors need to understand or recover from changes. Capability: Page history and activity history show prior changes, and version rollback can restore an earlier version. Result: Owners have a reviewable change trail and a recovery path for accidental edits.
• Pain: A broad audience should not have the same access to every document. Capability: Administrators and content owners apply permissions and sharing controls. Result: Access can be managed around the intended audience and documentation scope.
• Pain: Enterprise teams need deployment choices that fit their operating requirements. Capability: ONES.com is available as Cloud, On-Premise, Private Cloud, or Air-gapped, with feature parity between Cloud and self-hosted versions. Result: IT can assess deployment against its environment while teams retain the same documented feature set.

Pros

• Spaces, page trees, search, permissions, and sharing address the core work of organizing and finding enterprise documentation.
• Comments, annotations, watchers, version history, and rollback support collaborative review and ongoing maintenance.
• Project and knowledge work sit together, reducing context switching when teams update documentation tied to active work.
• Import/export and several deployment options give migration and IT teams concrete planning choices.

Cons

• Import/export does not by itself establish that every Confluence page element, attachment, link, or permission will map exactly; migration teams should validate representative content before cutover.
• Enterprises should confirm their required identity, access, compliance, and administration controls against their own operating requirements during evaluation.
• Teams that rely on simultaneous editing should verify that their specific concurrency workflow meets their needs during a hands-on assessment.

Pricing

ONES Cloud is free forever for up to 30 seats. Paid plans use tiered per-seat pricing with monthly or annual billing. See ONES.com Pricing.

Best For

ONES.com is a strong fit for large organizations replacing Confluence that want searchable, permissioned documentation connected to project work, plus a structured way to review and maintain pages. It is especially relevant when the migration team can run a content-validation pilot and IT needs to compare hosted and self-managed deployment options before rollout.

Microsoft SharePoint

SharePoint supports intranet sites, published pages, and document libraries. It can serve as a Confluence alternative when documentation needs to sit alongside Microsoft 365 collaboration, though its strengths are more document- and intranet-oriented than wiki-first.

Sites and libraries organize content by department, project, or topic. Metadata, views, and search help people locate managed content; version history and co-authoring support editing and recovery for supported documents. Permissions can be set at site, library, folder, or item level. Microsoft tools can also support approval and automation workflows, depending on configuration and licensing.

Strengths: Organizations already using Microsoft 365 can manage documents, identity, and collaboration in an established ecosystem. Structured libraries and search can help make a large document collection easier to browse.

Trade-offs: Extensive unique permissions can complicate administration, and flexible sites and libraries can become inconsistent without ownership and governance. There is no simple one-click migration that reliably preserves every Confluence page, macro, link, attachment, and hierarchy; migration tools or partners, testing, cleanup, and rebuilding some page behaviors may be necessary. Wiki-style authoring may feel less direct.

Pricing: SharePoint is included in some Microsoft 365 subscriptions, and standalone plans are available. Total cost depends on licenses, add-ons, storage, and migration or implementation work; check current regional pricing with Microsoft.

Best fit: Microsoft 365 organizations prioritizing governed intranet content and document libraries, provided they can plan for migration and ongoing information architecture.

Document360

Document360 is a knowledge-base platform for technical documentation, help centers, and internal knowledge libraries. Category structures and a documentation-focused editor support content for different audiences, including public or restricted knowledge bases. It is more focused on organized documentation than day-to-day project collaboration.

Authors can create articles, arrange them in category trees, and maintain versions. Review and approval workflows route updates to designated reviewers before publication. Access controls separate public and restricted content; enterprise identity options such as single sign-on may depend on the plan. Search and portal navigation help readers find articles.

Document360 offers content import options and migration assistance. Before committing, map sample Confluence spaces, hierarchies, attachments, links, and permissions. Imported pages may need formatting or link cleanup, and the migration should not be assumed to reproduce every Confluence workflow. Check integrations and identity requirements against the proposed plan.

Strengths: Defined publishing structure, version tracking, review steps, and audience controls suit teams whose main goal is maintained, searchable documentation.

Trade-offs: A documentation-first platform may not replace project discussions, meeting notes, or broad cross-functional collaboration. Migration requires validation, and identity, workflow, and integration features should be checked for the specific plan.

Pricing: Plan-based pricing is available, with enterprise packaging typically requiring a tailored quote. Compare editor seats, reader access, controls, support, and migration services; confirm current terms with the vendor.

Best fit: Enterprises building technical documentation or a help center with clear publishing ownership, rather than seeking one workspace for a wiki and broad project collaboration.

GitBook

GitBook focuses on creating, reviewing, and publishing structured documentation. It is strongest when technical teams need a clear documentation experience rather than a broad intranet or general-purpose collaboration hub.

Teams can organize content into spaces, search pages, collaborate on edits, review changes through change requests, and publish documentation sites. Git-based synchronization can connect documentation changes to repository workflows. Access controls support viewing and editing, but confirm that the required identity, permission, and administrative controls are included in the plan.

Strengths: Review before publication helps subject-matter experts propose edits while reviewers assess changes. The documentation-first structure supports readable content, and repository synchronization can make documentation part of an existing development review process.

Trade-offs: It may not cover broad internal collaboration, meeting notes, project spaces, or complex cross-functional workflows that teams previously handled in Confluence. Test how hierarchy, attachments, links, and formatting survive migration. Internal-only publishing and audience-specific access also need planning.

Pricing: Paid plans vary by features and billing terms. Confirm current seat pricing, identity and access controls, publishing options, and support directly with GitBook, and include any additional tools needed to replace existing workflows in the cost comparison.

Best fit: Enterprises centered on technical documentation, particularly where developers already use Git-based review workflows. It is less direct as a one-for-one replacement for a multipurpose Confluence environment.

Guru

Guru organizes knowledge as concise, reusable cards employees can find while working. A browser extension and integrations such as Slack and Microsoft Teams bring answers closer to the conversations where questions arise.

Collections group cards, search and integrations help surface answers, and verification workflows assign subject-matter experts to review important content. Permissions can restrict access to relevant collections. This model can support operational knowledge and repeat questions, but check whether cards suit longer technical documentation and complex page hierarchies.

Strengths: Cards make short answers and procedures reusable; workplace search can reduce the need to leave daily tools; verification gives owners a way to refresh content.

Trade-offs: The card-first structure may constrain long-form pages, deeply nested trees, or documentation that relies on contextual links. Guru is not the same broad project-documentation environment as a general-purpose wiki. Test representative content, attachments, hierarchy, embedded elements, and identity-group mapping during migration.

Pricing: Plan-based pricing is available; confirm current enterprise rates and requirements directly with the vendor. Compare seat and administration costs with migration and ongoing governance effort.

Best fit: Organizations prioritizing fast answers, reusable guidance, and content verification. Teams with extensive hierarchical documentation should pilot page and attachment migration before choosing it as their primary replacement.

Slab

Slab is a focused knowledge base for writing, finding, and maintaining company documentation. Topic-based organization and a clean editor suit teams that want a documentation space rather than a broad project-management suite.

Topics group related posts; search supports discovery; comments and reactions let colleagues discuss or clarify content. Integrations connect Slab with tools teams already use, and access controls can limit selected content. Its Confluence import option can seed a migration, but validate page relationships, attachments, links, and hierarchy with a pilot.

Strengths: Teams can publish organized documentation, search it, and discuss updates in one place. Topic organization helps owners group onboarding guides, policies, and team procedures.

Trade-offs: Slab is more focused on knowledge sharing than reproducing Confluence’s broader collaboration and extensibility. Map complex templates, specialized add-ons, and customized review processes before switching. Check migration fidelity, integrations, and administrative controls against identity, compliance, and access requirements.

Pricing: Slab offers free and paid plans; features and enterprise pricing depend on the plan. Check current limits and obtain a quote for the expected seat count.

Best fit: Organizations seeking a straightforward searchable knowledge base and willing to standardize workflows, after a pilot confirms migration and enterprise access needs.

Bloomfire

Bloomfire is an enterprise knowledge-sharing platform focused on helping employees find and contribute information. Its emphasis is searchable knowledge and discussion rather than reproducing Confluence’s page-and-space model.

Search and knowledge-sharing features provide a destination for organizational information, while discussion lets employees ask questions and add context. Integrations connect it with other workplace tools; confirm that the required identity, content, and collaboration systems are supported in the proposed configuration.

For migration, inventory pages, attachments, macros, permissions, and integrations. Ask for a demonstration of how representative content maps into Bloomfire and how access rules transfer. A content transfer does not necessarily preserve Confluence hierarchy or provide drop-in behavior.

Strengths: A search-centered model can help employees find material across a large library, including when they do not know which team owns it. Contributions and discussion can connect answers with people who can clarify them.

Trade-offs: Bloomfire is not a like-for-like Confluence workspace. Validate nested page trees, specialized page features, roles, groups, review processes, integrations, and daily authoring with real content; complementary tools or configuration may be needed for some documentation-control needs.

Pricing: Pricing is quote-based. Ask what implementation, migration, and support services are included in a proposal.

Best fit: Large organizations seeking an employee-facing knowledge hub where finding and sharing answers matters more than preserving Confluence’s exact page structure.

How to choose and validate a replacement

Trace a real knowledge workflow from authoring through review, access, retrieval, and migration. A short pilot can expose mismatches that a feature checklist will not.

1. Classify the content: Separate product documentation, internal guidance, policies, project notes, and other content with different owners or audiences.
2. Test restricted content: Use representative pages to verify that intended teams can find them and unauthorized readers cannot.
3. Run a migration sample: Move a small set of current pages and check hierarchy, attachments, links, permissions, and version-history needs before scaling up.
4. Check ecosystem fit: SharePoint is oriented toward Microsoft-centered document work; GitBook is oriented toward developer documentation and publishing. Evaluate the other candidates against their stated knowledge workflows.
5. Exercise AI features: Test the intended task, such as finding guidance or contributing to a workflow. Distinguish an assistant from an agent, and check how actions respect access and review requirements.

Decision summary

ONES.com is a candidate when the priority is keeping governed knowledge connected to project work. Its spaces, page trees, search, permissions, templates, import/export, comments, and version history support documentation maintenance alongside related work. Choose it only if that connected workflow and its deployment options match your requirements, and validate structure and access rules with representative content.

If Microsoft 365 is already central to document work, SharePoint may be the more natural fit. For product documentation or developer publishing, compare Document360 and GitBook against the specific authoring and review workflow. Guru, Slab, and Bloomfire may suit teams focused on verified answers, straightforward internal knowledge, or a searchable knowledge hub, respectively—but each has trade-offs in how closely it replaces a broad wiki. The right choice depends on content shape, governance needs, migration results, and the workflows your organization must preserve.
