As built vs record drawings compares construction changes documented in the field with drawing records delivered at project completion. Contractors often maintain working as-built markups during construction, and an assigned party may compile them into final sheets. However, as-builts can themselves be final deliverables. AIA guidance also uses the term as-constructed record drawings for as-builts. Neither name proves that every installed dimension was independently measured.
For owners and project teams, the useful questions are who prepared the drawings, when conditions were recorded, and what evidence supports their accuracy. Understanding those answers helps distinguish field and design records, assess drawing reliability, organize handover, and identify what needs checking before renovation. It also helps specify verification and professional responsibilities in the next contract.
1. As Built Drawings vs Record Drawings: What Is the Difference?
Contractor as-built records document reported changes to installed work, often as dated redlines or updated digital drawings. A compiled as-constructed record set organizes that information for handover when the contract requires it. This comparison describes two documentation stages, not two universally separate drawing types; the accuracy of either depends on its supporting evidence.
| Comparison | Contractor field as-built records | Compiled as-constructed record drawings, if specified |
|---|---|---|
| Who prepares them | Contractor and relevant trade teams | Architect, engineer, contractor, or assigned compiler |
| When prepared | Updated as construction changes occur | Commonly issued during project closeout |
| Main source | Field markups, measurements, photographs, approved changes | Contractor information plus applicable design revisions |
| Typical form | Redlined sheets or updated CAD files | Organized, coordinated drawing sheets |
| Accuracy basis | Quality and traceability of field observations | Quality of source records plus any separately scoped checks |
| Main purpose | Preserve evidence of installation changes | Provide an accessible final project record |
| Professional seal | Not automatically required | Depends on project scope and applicable requirements |
Common documentation responsibilities and stages. Contract definitions may assign the same deliverable a different name.
As built drawings vs record drawings is therefore a comparison of responsibilities and documentation stages, not a fixed hierarchy. One USACE specification distinguishes working redlines, completed contractor as-built drawings, and CAD record drawings. The project specification determines which versions must be delivered. For the contrast with design intent, see as built drawings vs construction drawing.
2. Who Prepares As-Built and Record Drawings?
Contractors and trade teams commonly maintain field as-built records because they observe installation changes directly. A designated architect, engineer, contractor, or drafting specialist may prepare the coordinated record set, depending on the agreement. The owner determines the required handover scope; compilation, field measurement, and professional verification should be assigned as distinct responsibilities.
2.1 Contractor and Trade Responsibilities
The contractor records deviations from the issued construction information and coordinates reports from relevant trades. For a relocated doorway or pipe run, useful records identify the affected sheet, changed position or dimensions, date, and supporting evidence. A contractor's markups report what was built; their reliability still depends on how carefully observations were captured.
2.2 Architect, Engineer, or Specialist Responsibilities
An appointed compiler incorporates the supplied changes into consistent plans, elevations, schedules, or details. A design professional may perform that service under a defined additional scope rather than automatically as part of ordinary design work. Unless field checks are expressly included, compiling contractor information does not amount to independently surveying the completed building.
3. When Are the Drawings Created and Updated?
Field as-built information should be captured as changes occur, especially before work becomes concealed. A compiled record set is commonly finalized near project handover using those records and applicable design updates. Maintaining accurate field notes throughout construction avoids the difficult task of reconstructing hidden pipe routes or buried utilities after installation is complete.
3.1 Recording Changes During Construction
Update a field record when an installation differs from the drawings used for construction. Before backfilling a relocated drain, for instance, document its alignment and invert elevation against suitable project references. Dated photographs add context, but they do not establish precise coordinates unless tied to an appropriate measurement method.
3.2 Compiling the Final Set at Closeout
At handover, the assigned compiler gathers current markups, approved modifications, and relevant revisions into the specified drawing format. Sheet numbers, equipment identifiers, and revision dates should agree across disciplines. If two field records conflict, the discrepancy should be investigated or disclosed rather than silently resolved through neat drafting.
4. What Types of Record Drawings Does AIA Distinguish?
AIA B101-2017 guidance distinguishes as-designed record drawings from as-constructed record drawings. The first documents the design as revised through the project; the second reflects construction information supplied by the contractor. This distinction matters because an updated design record does not, by itself, demonstrate that every designed change was installed in the field.
4.1 As-Designed Record Drawings
As-designed record drawings incorporate the original construction documents and subsequent design changes, including relevant addenda and authorized modifications. They describe the design record rather than independently established installed conditions. Owners should not assume that a revised drawing reflects a concealed service's final location unless separate construction evidence supports that conclusion.
4.2 As-Constructed Record Drawings
As-constructed record drawings present the built project using information supplied under the construction contract, commonly including contractor markups. AIA calls these records as-builts and, in its B101-2017 guidance, explains that an architect compiling contractor information is not responsible for its accuracy or completeness under that described service.
The phrase as builts vs record drawings is misleading when as-builts are themselves an as-constructed record set. The contract must identify the required documentation and checks.
5. Are Record Drawings More Accurate Than As-Builts?
No. A clean record drawing is not inherently more accurate than a contractor's field record. Positional accuracy depends on the observation method, survey control where applicable, and the extent of verification. A line copied from a sketch remains reported information even when it appears on a professionally formatted closeout sheet.
A relocated duct illustrates the difference. A redline reports the change; an appropriately controlled survey establishes the location of accessible geometry. Neither a scan nor a seal proves the path hidden behind a finished wall. The final drawing should label what was measured, reported, or left unverified. Hidden reinforcement shows the same limit, so as built structural drawings need their own evidence.
| Evidence | What it establishes | Limitation |
|---|---|---|
| Contractor redline | Reported installation change | May lack measured control |
| Pre-cover measurements | Dimensions recorded while accessible | Depend on method and references |
| Dated photographs | Visible conditions at a particular time | May not establish exact coordinates |
| Controlled survey or scan | Measured accessible geometry | Does not reveal concealed work |
Types of field evidence and the limits of the accuracy they can support.
6. What Should a Reliable Closeout Drawing Set Include?
A reliable closeout package identifies the current drawing revision, the source of each material change, and the limits of verification. It should preserve contractor field evidence where required and coordinate affected architectural, structural, civil, and building-services sheets. The owner also needs usable file formats and a clear record of unresolved discrepancies.
For revised openings, retain observed dimensions and sheet references. For concealed utilities, preserve pre-cover measurements and dated photographs. Label contractor-reported or assumed routes. PDFs support reference use, while editable files help with updates; neither format guarantees accuracy.
7. Which Drawing Set Should Owners Use for Renovations?
Owners should begin with the accepted closeout drawings and consult original field markups for significant installation changes. Neither document necessarily reflects later modifications or proves concealed conditions. Before drilling, demolition, or excavation, the project team should check the current site and investigate critical utilities or structure using an appropriate method.
A record sheet may show a chilled-water line's reported route, while a maintenance log identifies a later repair. Compare both with current observations, and preserve their dates and sources.
8. Do Record Drawings Need an Architect's or Engineer's Seal?
Not always. Whether a record drawing requires a professional seal depends on the jurisdiction, the type of submission, and the licensed professional's assigned responsibilities. Some civil or public-agency deliverables have specific certification rules, while ordinary contractor markups may not. A seal must not be described as guaranteeing measurements outside the professional's verified scope.
Check the applicable requirements before commissioning a record set, particularly for regulated utility or public-infrastructure work. Define what the professional is certifying and whether independent survey data are needed. Do not assume a designer who compiles contractor redlines has personally inspected every concealed feature.
9. How Should Owners Specify As-Built and Record Drawing Deliverables?
Owners should describe the required records by content and responsibility, not by title alone. The construction documents can assign who maintains redlines, which features must be measured before concealment, who compiles the final drawings, and how accuracy or uncertainty is reported. Required file types, review steps, and final delivery dates also belong in the scope.
A useful acceptance check compares final sheets against source markups, confirms revision histories, and flags unresolved differences. Specify tolerances only where the project needs measured positions and an appropriate verification method is provided. The result is a documented level of confidence, not an unsupported promise that every hidden installation matches the drawing.
