Shopify brings inventory counting into its admin, helping store teams record stock, review discrepancies, and approve changes with more control.
The shelf says 12. Shopify says 9. Now what?
Anyone who has built or maintained a store with physical stock knows this problem. Counts drift, and merchants end up fixing them with spreadsheets and manual edits. On October 20, 2026, Shopify announced a new way to handle it: stock counts in the admin.
If you build for merchants, here is what changed and what to check.
What Shopify Announced
Stock counts give store teams a structured way to verify inventory in Shopify admin. You create a count, staff record what’s on the shelf, and you review the results before stock levels change.
The goal is to replace spreadsheet-based counting with a workflow that stays inside admin. It also keeps a clear record of what was counted, who counted it, and what changed.
The Feature List
Here is what the official changelog says is available:
- Create and schedule stock counts in admin
- Add products manually through search, or with barcode scanning
- Assign counts to staff who can complete them in admin or POS
- Let multiple staff contribute to the same count without overriding each other
- See who recorded each quantity and track progress from creation to completion
- Review variances between counted and recorded quantities before approving changes
- Use new permission settings to control who can count and who can review and approve
How the Workflow Looks
Think of it as a simple loop:
- Create a count and add products.
- Assign it to staff.
- Count using barcode scans or manual entry.
- Review the differences between counted and recorded quantities.
- Approve the changes.
The key point is that inventory doesn’t change when someone enters a number. It changes after review and approval. That gives merchants a safety net against typos and miscounts.
Admin vs. POS
Staff can complete counts in admin or in POS, so POS is still part of the picture. The announcement is about creating, managing, and reviewing counts in admin. It doesn’t compare this with earlier POS counting features, so I won’t guess at what is new there. If a merchant already counts through POS, the help center guide is the best place to see how it fits their setup.
What It Means for Developers
This is an inventory management update, not a theme or coding change. Nothing in the announcement says you need to update your code. It doesn’t mention new APIs, deprecations, or technical requirements.
Still, a few quick checks make sense if you maintain custom tools:
- Custom inventory apps: Look at how your app handles inventory adjustments. A new count-and-approve flow might change how merchants make those adjustments.
- Integrations (ERP, WMS, spreadsheets): Check whether your sync logic expects inventory to change in a certain way or at a certain time.
- Staff roles: The new permissions are worth knowing if you set up staff access for clients.
These are precautions, not confirmed problems. Test in a development store if you want to be sure.
What It Means for Store Owners
Merchants get a cleaner way to find and fix stock gaps. The variance review and the permission settings are the main wins. One person can count, and another can approve.
This helps stores with physical products, teams still counting in spreadsheets, and businesses with several staff members or locations.
Wrapping Up
Accurate inventory affects everything from overselling to restocking. Shopify’s stock counts give teams a trackable, reviewable way to check what’s really on the shelf.
For developers, the takeaway is simple. Nothing requires you to change code, but if you maintain custom inventory workflows, it’s worth a quick compatibility check.
