Open the spreadsheet your team uses to track jobs, orders, or client requests. Look at the last edited column. Some rows were touched this morning. Others have not changed in three weeks, and nothing on the page tells you which kind you are looking at.
That is the real weakness of a shared tracker. It looks like a source of truth. It is actually a record of whenever someone last remembered.
A tracker fails for a boring reason. Updating it is a separate job from doing the work. The person who finishes a delivery then has to open the sheet, find the row, change the status, and add a note. Nobody is checking, and the work itself is already done, so the update is the first thing to slip. A busy week turns every row into a guess.
The damage shows up later and somewhere else. A customer asks where their order is, and the answer starts with "let me check with" someone. A manager plans next week from a status that was true on the fifth. Two people chase the same item because neither could tell the other had it.
Here is a simple test. Pick five rows at random and ask the person named on each one whether the status is correct right now. If even one is wrong, the sheet is not a record. It is a rumor with formatting.
There are two ways out, and only one lasts.
The first is discipline. Name an owner for the sheet, set a time each day to update it, and chase the gaps. This works while the owner is in the building and the week is calm. It stops the day either condition changes.
The second is to stop asking people to type the status at all. The state of a job already exists somewhere. The invoice was paid, the ticket was closed, the message was sent, the form was submitted. Each of those events can write its own row. When the payment lands, the status changes. When the customer replies, the row moves to "needs us." Nobody remembers anything, because nothing depends on memory.
People are still needed for exceptions. A row that has sat in one state too long should get flagged to a named person. A row with no owner should be impossible to save. That is a small list, and it is the only part that should ever need a human decision.
If you want to try this without building anything, do one step first. Add two columns to your tracker: "owner" and "next date." Every row needs both, one line each. A row with no next date is a row nobody is planning to touch, and you will find several in the first ten minutes.
Then pick the single status change that happens most often and ask what event already marks it. That event is your first automation. One is enough to start. The sheet gets a little more honest every time another status stops depending on someone remembering.
We build systems that keep this kind of state current on their own, so the tracker stays true without a weekly cleanup. If your team has a sheet like this, we would like to hear about it: octyn.co
