It is 11:10 on a Tuesday, and you are standing at the key-cutting kiosk in the hardware store. The man ahead of you is arguing gently about a padlock. Your phone buzzes in your coat pocket.
You know who it is before you look.
Hi again, is the speckled blue mug back yet? This is my third time asking.
Mara makes ceramics in a rented corner of a shared studio. Mugs, mostly. Small bowls, a few vases that nobody asks about. And the speckled blue mug, which she glazed once on a whim and which has since become the thing people actually come for.
You are Mara today, or someone very like her. Maybe your best seller is a candle, a leather lead, a tin of tea, a print. The shape of the problem is the same.
The message that has a new tone
The first time someone asked, it was friendly. Love these, let me know when you have more!
The second message was a little shorter.
The third has no exclamation mark at all.
You type a reply right there at the kiosk. So sorry, the next batch is in the kiln and should be ready soon. You read it back. "Soon" is doing a lot of work in that sentence. You do not actually know when soon is. You are not sure how many mugs are left on the shelf at the studio, or whether the last six are already promised to someone's order sitting in your inbox.
You press send anyway.
The man with the padlock finally leaves. The kiosk assistant looks at you and says, "Key?" You realise you have been staring at your phone for a full minute.
What it quietly costs
Nobody warns you that selling out is not only a happy problem.
It is the apology emails you write on a Sunday. It is the page on your shop that still says In stock because you forgot to change it. It is the order you accepted on Friday for a mug that was already gone, and the awkward refund message on Monday.
It is also the thing nobody mentions out loud: the small, creeping feeling that you are not quite a real business. Real businesses know what is on their shelves. You find out when someone is disappointed.
And it is the money you cannot see. Every person who stopped asking after the third message was a sale you did not make. They simply bought a mug from someone else and did not tell you.
You do not blame yourself, exactly. You were busy making the mugs. But the knot in your stomach has a very specific shape now, and it looks like a blue mug.
The count that did not exist
Back at the studio that afternoon, you stand in front of the shelf with your notebook. You count the speckled blue mugs. Eleven. Then you count again, because the number does not match what you wrote on the back of an envelope last week.
Somewhere in that gap, between the envelope, the notebook, the shop page and your memory, is the whole problem. Not your talent. Not your clay supplier. Just the fact that no single place tells you the truth about what you have, and what you will need before it runs out.
You sit on the studio stool and think about the last time you reordered anything. Glaze, packaging, boxes. Each time it was the same. You noticed when the thing was almost gone, then rushed, then paid for the quick delivery, then felt silly.
Then a quiet thought arrives, not dramatic at all: It does not have to work like this.
Not a cleverer memory. Not more hours. Just one calm place where your stock lives, where each sale takes a little off the number, and where something nudges you before the shelf is empty, not after the third message.
A different kind of Monday
Picture it a few weeks from now.
It is Monday morning, 8:40. You have a coffee, a real one, in the speckled blue mug, which feels slightly smug. You open one sheet. It takes less than ten minutes.
The numbers are just there. Blue mugs: a comfortable amount, and a gentle flag saying it is time to start the next batch while you still have a cushion. The bowls are fine. The vases are barely moving. Nothing is on fire.
A customer writes to ask about the blue mug. You can answer in one sentence, with a real date, and mean it. Or better, they never have to ask, because the page said back in two weeks all along.
You close the laptop and go to the studio. You are making mugs because you chose to, not because you are racing a shortage you only just discovered.
That is the whole change. The shelf stops surprising you. The knot loosens a little. And the customers who love your work get to keep loving it, rather than slowly giving up on you.
If that Monday sounds good
If you recognised yourself at the key kiosk, there is a simple Excel tracker built for exactly this moment. It shows what you have, what it is worth, and gives you a reorder alert before the shelf runs bare. It comes with a filled-in example so you can see how it behaves, a blank version for your own products, and a short PDF guide. There is no subscription, and a 30-day money-back promise if it does not help.
You can find it here: Never Sold Out by Surprise – Inventory & Reorder Tracker
No rush. Your best seller will still be there, and soon you will know exactly how many are left.
