How to Choose a Lead Gen Plan Without Overpaying
Short answer: match the plan to your proven monthly volume, not your ambitions - start one tier below what you think, upgrade when limits actually bite. The overpaying traps below cost real money.
Trap 1: paying for volume you don't have
Top tiers sell "unlimited everything" to teams sending 200 messages a month. Map your real numbers first: active accounts, messages per day, groups monitored. If nothing hits a limit for two straight months, you are over-tiered. Downgrade without shame - the feature gap between tiers rarely matters before volume does.
Trap 2: per-seat pricing for viewers
Count who actually operates daily versus who glances at reports monthly. Viewers don't need paid seats if the plan offers read-only roles - and most do. Audit seats quarterly; zombie seats are the quietest budget leak in SaaS.
Trap 4: free tiers that cost the most
Free plans bill in limits designed to hurt exactly when things work: capped histories, throttled sends, watermarked exports. Worse, they train sloppy habits - no backup discipline, no data ownership, workflows built on features that vanish at upgrade. Use free tiers for evaluation weeks, never as production infrastructure. The migration out always costs more than the months "saved".

Trap 3: annual lock-in before product-market fit of the tool
Annual billing discounts 20% and locks 100%. Take monthly until the tool survives one full quarter inside your workflow - including one billing dispute, one support ticket, and one feature you needed missing. Then go annual with evidence, not hope.
The yearly renewal audit
Once a year, list every subscription with its monthly cost and last month's real usage. Kill anything unused twice in a row, downgrade anything under half its limits, renegotiate anything over 30% yearly growth. One focused afternoon typically recovers 15-25% of tool spend - the highest hourly rate work a founder does all year. Calendar it now, or "later" eats it.
Verify with unit economics
Cost per closed deal, all-in, per tier. If upgrading a tier doesn't move that number down within two months, downgrade back - the extra features were shelfware. Plans are tools, not achievements; the cheapest plan that doesn't constrain you is the right one by definition.
Honest limits
No plan fixes a broken motion. Teams losing money on every deal at the starter tier lose more of it at enterprise speed - fix conversion before capacity. And prices move: revisit the math yearly, because vendors raise tiers and your volume shifts underneath you.
When did you last downgrade something - and what broke? Nothing, usually.
