Leads live in three places at once: a phone, a spreadsheet, and whoever remembered to write the note. A CRM is the fix, and the price is the reason most owners never start. The good news is that the free tiers of the well-known tools are real products, not countdown clocks — you simply have to know which wall you will hit first.
That is the method below: find your limit, then pick the tool whose limit sits furthest away.
Three caps are hiding inside the word "free"
Every free plan is bounded somewhere. Sort the limits into three buckets and the comparison gets much easier.
- Seats — how many people can log in at the same time. Several vendors draw the line at three.
- Records — how many contacts you may store, or email. One well-known plan stops at 250 for marketing.
- Locked features — automation, custom fields, richer reporting and API access are the usual things held back.
Nobody hands over the whole product for nothing. The question that matters is not "is it free" but "will my team bump into the cap this year, or in three years".
What each free plan is actually built for
| Tool | Seats on the free plan | What the free plan is really for | First paid step |
|---|---|---|---|
| HubSpot | unlimited | Teams that expect to add people and want forms, chat and email tracking from day one | around $20 per seat monthly |
| Zoho CRM | 3 | A straightforward pipeline for a very small sales team | about $14 per seat monthly |
| Freshsales | 3 | Sales-first teams who care about a clean interface | roughly $9-11 per seat monthly |
| Bitrix24 | varies | A micro business that would rather run fewer subscriptions | a flat step near $49 monthly |
| EngageBay | 1 and up | Solo founders who also want email marketing and a helpdesk | about $14.99 per seat monthly |
HubSpot: the seat cap disappears, the automation cap stays
Unlimited seats is the headline here, and it is the one thing no other mainstream free plan offers. Storage for contacts is generous, and the free tier ships web forms, a chat widget, meeting links and notification-level email tracking.
What you give up is the machinery that runs itself. Automated workflows sit behind a paid hub, reports come pre-built instead of custom, and the product spends real effort steering you toward its paid editions. If your worry is "what happens when I hire someone", this is the calmest starting point.
Zoho CRM: a complete pipeline for a very small team
Zoho's free edition is a working pipeline, not a demo: leads, contacts, accounts, deals, tasks, calls and the standard reports, with no ceiling on how many records you keep. Three people can use it indefinitely without entering card details.
The trade is depth. Templates for email, custom modules and automation are absent, the standard reports are fixed, and the interface carries more density than the newer tools. The moment a fourth person needs access, you are pricing a paid tier for everyone — plan for that rather than being surprised by it.
Freshsales: the tidiest interface of the group
Freshworks aimed this one at people who found the other two either noisy or cluttered. Contact and account records, a visual deal pipeline, chat, email and calling, message templates, a phone app and weekday support are all inside the free tier for up to three users, with no expiry.
Basic reporting is where free stops, sequences and the AI scoring features are paid, and outgoing mail carries the vendor's branding. For a tiny sales team that practically lives in its inbox, adoption tends to be quick.
Bitrix24: one account, several tools — verify the seat cap first
Bitrix24 bundles far more than a contact database: tasks, projects, video calls, a page builder, contact-centre basics and 5 GB of storage come along with the CRM. For a very small operation, that can replace two or three subscriptions at once.
The catch is the free seat allowance, which the vendor has changed repeatedly — some years effectively unlimited, other years capped in the single digits, and it can differ by region. Confirm the number on the pricing page before you design your workflow around it. Telephony and marketplace apps are paid, and export has historically been restricted, which is worth knowing if you might leave later.
EngageBay: CRM plus email marketing for one person
For a solo founder, this is the most complete starter of the five: contacts and deals, email marketing with autoresponders, landing pages, live chat and a helpdesk under a single login, with a marketing-contact cap of 250.
That cap arrives quickly if you send campaigns regularly, and scoring, deeper automation and third-party connections are paid features. If your list is still small but your tool list is not, this one tidies things up.
Why the two famous names are missing
Neither offers a permanent free edition in 2026 — one gives a short trial, the other starts in the mid-twenties per seat monthly. They are sensible places to look once the free tools stop fitting, not places to begin.
The upgrade trigger, and the habit that makes it painless
Upgrade when a limit starts costing you money, never before. In practice the trigger is one of these:
- A fourth person needs a login and you are on a plan capped at three.
- You need lead routing or follow-up reminders to run without a human.
- Your mailing list outgrows the free contact allowance.
- You need custom fields, a second pipeline or an integration that free tiers omit.
Whichever plan you land on, export contacts and deals to CSV on a quarterly rhythm. That single habit turns a future move into a short task instead of a migration project — and it protects you from the day a vendor changes its free tier without warning.
FAQ
Which free CRM is genuinely free forever?
HubSpot CRM and Zoho CRM Free are the two most dependable permanent free editions in 2026. Both skip the credit-card step, and neither turns into a trial after a set period: one gives unlimited seats, the other keeps a full pipeline for a very small team.
Is there a free CRM with unlimited seats?
HubSpot CRM is the clearest example, with room for around one million contact records. Bitrix24 also advertises an unlimited free tier in certain regions, but because its seat allowance has changed several times, check the current figure when you sign up rather than relying on older comparisons.
What is the catch with free CRM software?
The catch is always the same shape: the free edition limits whatever scales. Seats, marketing contacts and the automation layer are the usual boundaries, and vendor branding plus upgrade prompts come with the package. They are real products — designed as an entry point rather than a destination.
Can I move to another CRM later without losing my data?
Usually yes, if you prepare the exit while things are calm. Most of the tools above export contacts and deals as CSV, which nearly every other system can import. Before committing, check what export actually includes — a platform that restricts the standard export is a risky long-term home for customer records.
