A business trip can start with a simple request: “I need to travel to Mumbai next Tuesday.”
What happens next can involve emails, WhatsApp messages, approval forms, travel agents, screenshots of fares, follow-ups with managers, and finally a booking. By the time the ticket is issued, the original fare may have changed and several people may have spent time coordinating one trip.
This is why corporate travel booking and approvals can become a surprisingly complex business process. The problem is not usually the booking itself. It is the gap between requesting travel, getting approval, finding the right option, and completing the booking without losing control over cost or policy.
A simpler process connects these steps so employees can book faster while finance and travel teams retain visibility and control.
Why Corporate Travel Booking Becomes Complicated
Corporate travel involves more decisions than simply choosing a flight.
A typical business trip may need to consider:
- Travel dates and destination
- Business purpose
- Available budget
- Preferred airlines and hotels
- Travel policy
- Traveller preferences
- Approval hierarchy
- Cost centre or department
- Changes or cancellations
- GST and invoice requirements
In a manual process, these details often sit across different systems.
An employee may send a request by email. The manager approves it on WhatsApp. A travel desk checks availability with an agency. Finance later receives the invoice. By then, there may be no single record showing exactly what was requested, approved, booked, and paid.
Modern corporate travel platforms increasingly bring these activities into a connected workflow. AtYourPrice, for example, follows a process that connects travel planning, approval, booking, policy compliance and reporting rather than treating them as separate activities.
The Real Problem Is the Gap Between Approval and Booking
One of the biggest sources of friction is the traditional approval process.
Consider a common scenario.
An employee finds a flight costing ₹8,500 and sends the details to their manager. The manager reviews it a few hours later and approves the trip.
The employee returns to book the flight.
The fare is now ₹10,200.
The employee either pays the higher price or starts the search again. If the new option also requires approval, the cycle starts over.
This creates a difficult choice between speed and control.
AtYourPrice has highlighted this exact challenge with pre-trip approvals: when employees research an itinerary for approval and then have to search again after approval, prices can change substantially in the meantime.
A better corporate travel booking workflow should reduce this gap.
What a Better Corporate Travel Approval Workflow Looks Like
The objective is not to add more approval steps. It is to make the existing steps happen in the right order.
A practical workflow can look like this:
Travel request → Policy check → Approval → Booking → Confirmation → Reporting
The employee enters the trip details once. The system applies the relevant travel policy and routes the request to the appropriate approver.
Once approved, the traveller or travel desk can proceed with booking using the approved information.
This approach removes unnecessary back-and-forth and gives every stakeholder a shared view of the trip.
Start With the Travel Request
A travel request should capture the information an approver actually needs.
At a minimum, this may include:
- Traveller name
- Destination
- Travel dates
- Business purpose
- Estimated cost
- Department or cost centre
- Travel category
The request should not become a lengthy form that employees avoid using. The goal is to collect enough information to make a decision without creating another administrative burden.
Apply Travel Policy Before Approval
A policy works best when it is applied during the booking process, not checked weeks later.
For example, your policy might specify:
- Economy class for domestic flights below a defined duration
- A maximum hotel rate by city
- Preferred hotel chains
- Advance booking expectations
- Approval requirements above a particular spend threshold
The system can identify whether a request falls within these rules.
If it does, the trip can move through a simpler workflow. If it does not, the exception can be routed to the relevant approver with the reason clearly visible.
This is more useful than discovering a policy violation after the money has already been spent.
Not Every Trip Needs the Same Approval Process
A common mistake is creating one approval workflow for every employee and every trip.
That can turn a simple domestic journey into an unnecessarily long process.
Instead, companies can create approval rules based on factors such as:
- Travel value
- Destination
- Domestic or international travel
- Employee designation
- Department
- Cost centre
- Travel class
- Out-of-policy selection
For example, an employee booking a ₹6,000 domestic flight within policy may require only manager approval.
An international trip costing ₹1.5 lakh may require manager and finance approval.
This type of multi-level travel approval workflow allows companies to maintain financial control without making every booking equally difficult.
Give Employees One Place to Book Business Travel
Once approval is complete, booking should be straightforward.
If employees still have to move between travel agents, airline websites, hotel portals and email threads, the approval workflow has only solved half the problem.
A corporate travel booking platform can bring options for flights, hotels and other travel services into one environment. Employees can search and select options while the organisation maintains visibility over what is being booked.
A centralised booking process also makes it easier to:
- Apply preferred supplier rules
- Display negotiated corporate fares
- Maintain booking records
- Reduce off-platform bookings
- Track travel spend
- Retrieve invoices
- Monitor policy compliance
The larger benefit is consistency. The company does not have to reconstruct travel activity from multiple booking channels later.
Make Policy Compliance Easier for Employees
Employees do not necessarily ignore travel policies because they want to spend more.
Sometimes the policy is unclear. Sometimes the approved booking channel is inconvenient. Sometimes the employee simply does not know that a particular option falls outside policy.
This is where the booking experience matters.
Instead of presenting a policy document and expecting employees to remember every rule, the system can guide them while they search.
For example:
Policy-compliant option: ₹7,800
Selected option: ₹11,500
Difference: ₹3,700
Reason required: Yes
The employee immediately understands what has triggered the exception.
That is much more useful than finance discovering the difference during a reimbursement review.
Speed Up Approvals Without Removing Control
Approval delays can have a direct effect on travel costs.
The longer a booking remains pending, the greater the possibility that fares or hotel rates will change.
This is particularly important for frequent business travel where employees may be booking close to departure.
An effective approval system should therefore make pending requests easy to act on.
Useful features include:
- Mobile approval
- Email or notification alerts
- Clear trip and cost information
- One-click approval or rejection
- Approval delegation
- Automatic escalation for delayed requests
- Multi-level approval for defined exceptions
The principle is simple: give approvers the information they need without making them search for it.
Modern travel approval platforms increasingly support configurable workflows and mobile approvals for this reason.
Keep Booking and Approval Data Connected
Another overlooked issue is what happens after the booking is made.
In a disconnected process, the approval record may show ₹8,000 while the final booking costs ₹9,200. Finance may only see the invoice later.
A connected system can maintain the relationship between:
Requested cost → Approved cost → Booked cost → Actual travel spend
This creates a much clearer audit trail.
It also helps finance teams answer practical questions:
- How much travel was approved this month?
- How much was actually booked?
- Which departments are exceeding budgets?
- How often are employees booking outside policy?
- Which routes have the highest travel costs?
- Which suppliers receive the most bookings?
Without this connection, travel reporting often becomes a manual exercise.
What Finance Teams Gain From a Simplified Process
Simplifying corporate travel booking is not only about making employees happier.
It changes the quality of financial information available to the organisation.
A centralised process can give finance teams better visibility into:
Travel Spend
Instead of waiting for reimbursement claims, finance can monitor booked travel and committed spend earlier.
Policy Exceptions
Finance can identify where employees are repeatedly travelling outside approved rules.
Supplier Performance
Flight, hotel and other travel supplier activity can be compared using actual booking data.
Budget Tracking
Travel budgets can be monitored by department, location, project or cost centre.
GST and Invoice Records
Centralised booking and invoicing can make it easier to maintain the documentation required for accounting and tax processes.
This is one reason connected travel and expense platforms increasingly focus on bringing booking, policy enforcement and spend data together.
A Practical Example
Imagine a company with 500 employees who travel regularly.
Today, the process looks like this:
Employee emails manager → Manager replies → Employee contacts travel agent → Agent sends options → Employee selects option → Agent books → Invoice goes to finance
There are multiple handoffs and several opportunities for delays.
Now consider a connected workflow:
Employee enters trip → Policy is checked → Request reaches approver → Approval is recorded → Employee books approved option → Booking and invoice are captured automatically
The second process does not eliminate the people involved.
It removes unnecessary coordination between them.
That distinction matters.
Automation should not replace sensible decision-making. It should remove repetitive administrative work around those decisions.
Five Ways to Improve Your Corporate Travel Booking Process
If your organisation is not ready for a complete technology change, start with the process itself.
1. Define who needs to approve what
Create clear approval rules based on spend, destination, employee level and travel type.
2. Set booking policies at the point of search
Do not rely entirely on post-trip audits to identify policy violations.
3. Reduce the number of booking channels
The more fragmented your booking environment is, the harder it becomes to track costs and compliance.
4. Give approvers enough information
Show destination, dates, traveller, purpose, estimated cost and policy exceptions in the approval request.
5. Measure the process
Track approval time, booking lead time, policy exceptions, average trip cost and booking channel usage.
These metrics can reveal where the real bottleneck exists.

The Future of Corporate Travel Booking Is More ConnectedThe Future of Corporate Travel Booking Is More Connected
Corporate travel does not need more layers of administration.
It needs a process where the right information reaches the right person at the right time.
When travel requests, policy checks, approvals and bookings operate as separate activities, employees spend more time coordinating and finance teams spend more time reconstructing information.
When those steps are connected, the organisation can make faster decisions without giving up financial control.
The result is not simply a faster booking process. It is a more predictable way to manage business travel.
Frequently Asked Questions
What is a corporate travel approval workflow?
A corporate travel approval workflow is the process used to review and authorise business travel before a booking is confirmed. It typically considers the traveller, destination, dates, business purpose, estimated cost and applicable travel policy.
How can companies speed up business travel approvals?
Companies can speed up approvals by using clear approval rules, mobile approval options, automated notifications and centralised trip information. Routing only exceptions to additional approvers can also prevent simple, compliant trips from getting stuck in lengthy workflows.
Should employees get approval before booking business travel?
For many organisations, pre-trip approval helps control budgets and ensure compliance with travel policies. However, the level of approval can vary depending on the trip value, destination, employee role and company policy.
How does travel policy affect corporate booking?
A travel policy defines the rules employees must follow when booking business travel, such as travel class, hotel limits, preferred suppliers and approval requirements. Applying these rules during the booking process can help prevent out-of-policy spending before it occurs.
What is the difference between a travel request and a travel booking?
A travel request asks for authorisation to take a business trip. A travel booking is the actual purchase or reservation of the flight, hotel or other travel service. Connecting the two allows companies to compare what was approved with what was ultimately booked.
How can companies reduce delays between travel approval and booking?
The biggest improvement comes from connecting approval and booking. Once an approver approves the trip, the employee should be able to proceed with the approved booking information instead of starting the process again.
Can corporate travel software enforce travel policies?
Yes. Corporate travel platforms can apply rules during the search and booking process, flag exceptions and route certain trips for additional approval. This allows organisations to manage compliance before travel spend is committed.
