Choosing a CRM by Job Required: Why Capsule vs. HubSpot Is the Wrong Starting Question
Most software reviews compare Capsule CRM and HubSpot by matching feature checklists line by line. This approach fails because it treats both tools as direct competitors attempting to solve the exact same problem. In reality, Capsule CRM and HubSpot sit at opposite ends of the customer relationship management spectrum. Capsule is a lean CRM built for small businesses that need fast implementation, clean pipeline tracking, and zero clutter. HubSpot is an all-in-one customer platform built for growing companies requiring marketing automation, content management, and multi-hub operational scaling.
Evaluating these platforms starts by reframing the decision around the specific job your organization is hiring software to perform. A micro-business tracking client projects and sales pipelines has vastly different functional requirements than a scaling company executing complex inbound marketing workflows or a B2B sales team conducting cold outbound prospecting. By grouping available CRM options by operational job rather than brand popularity, buyers can identify the exact tier, cost profile, and system architecture that fits their business constraints.
| Software | Starting Price | Primary Plan Limit | Ideal Business Job |
|---|---|---|---|
| Capsule CRM | Free (Paid from £12–£17/user/mo) | 250 contacts on Free; up to 120,000 on Advanced | Simple contact tracking, lightweight sales pipelines, and task management for small teams (1–20 users). |
| HubSpot Sales Hub | Free (Paid from £18/user/mo or £60/mo bundle) | 2,000 branded emails/mo on Free; mandatory onboarding fees >£1,000 on higher tiers | Full-stack inbound marketing, multi-hub scaling, and complex CRM automation (20–2,000+ users). |
| Salesforce Essentials | $25/user/month (billed annually) | Max 10 users; no free version for non-charities | Small organization case management, email tracking, and structured reporting. |
| ZoomInfo | Free Lite (Paid is Custom consumption) | 10 exports/mo on Lite plan | B2B prospecting, buyer intent signals, and filling sales pipelines with verified contact data. |
Job 1: Maintaining Clean Contact Timelines and Simple Pipelines Without Administrative Complexity
If your primary job is organizing contacts, tracking sales deals through a visual pipeline, and managing daily follow-up tasks without spending weeks on training, simple relationship CRMs are purpose-built for you. Small service businesses, consultancies, and micro-teams (1 to 20 users) frequently get bogged down by enterprise software built for large sales floors.
Capsule CRM was created specifically to solve this issue. Bootstrapped during the 2008 financial crash after its founders lost a major client, Capsule was designed to serve small businesses that had outgrown spreadsheets but found enterprise options overwhelming. Within 30 months of launch, Capsule earned 10,000 users and £1 million in revenue without outside investment. Today, Capsule holds a 4.7 rating on G2 and a 9.4/10 rating for ease of use.
Capsule’s Free plan includes 2 users, 250 contacts, 1 opportunity pipeline per account, repeating tasks, task queues, basic sales automation tracks, Gmail and Outlook integration, unlimited lists, 5 custom fields, and included 1:1 technical support. As organizations grow, Capsule’s paid tiers scale cleanly without hidden onboarding costs:
- Capsule Professional Edition: Costs £12 per user per month and includes up to 50,000 contacts, 10GB of storage per user, unlimited custom fields, tags, sales opportunities, cases, tracks, Mailchimp integration, and Zapier integration. For a 6-user team, the annual software bill is £864.
- Capsule Starter Plan: Starts from £14 to £17 per user per month, supporting up to 30,000 contacts, self-serve onboarding, and 1 project management board.
- Capsule Advanced Plan: Scales contact limits up to 120,000 contacts, with overall paid pricing spanning ~$21 to $75 per user per month across upper tiers.
Capsule emphasizes custom data control through features like DataTags, which trigger structured data entry fields when applied—such as prompting a user for a membership number and renewal level when a contact is tagged as a "Member". Capsule also supports seamless data migration from spreadsheets, accounting tools like Xero, or directly from other CRMs.
For small organizations considering alternative entry-level CRMs for Job 1, Salesforce Essentials presents a structured option. Starting at $25 per user per month (billed annually) or $35 per user per month (billed monthly), Salesforce Essentials supports up to 10 users. It provides sales and customer support tools, account and case tracking, custom reports, dashboards, and email/meeting tracking. In a 6-user scenario, Salesforce Essentials costs £157 per month (£1,884 per annum, invoiced at $210 USD). Adding web chat and Facebook Messenger requires the Digital Engagement add-on for £12 per month. Unlike Capsule, Salesforce offers no free version for standard commercial businesses, though registered charities receive 10 free user licenses for Salesforce Enterprise Edition alongside the Nonprofit Success Pack.
Job 2: Running All-in-One Inbound Marketing, Sales Hubs, and Enterprise Scaling
When an organization’s primary job expands beyond relationship tracking into inbound lead capture, landing page content management, automated lead nurturing, and multi-department service ticketing, a modular CRM like Capsule is no longer sufficient on its own. This is the domain of all-in-one customer platforms like HubSpot.
Founded in 2006 around the concept of inbound marketing, HubSpot has grown into a $3.13 billion revenue company serving 288,706 customers. Its Smart CRM platform connects six core product hubs (spanning marketing, sales, service, content, data, and commerce) and supports up to 15 million contacts (expandable to 50 million), driven by built-in Breeze AI agents for outreach drafting and ticket resolution.
HubSpot offers a entry-level Free CRM that includes 5 users (and unlimited contacts/users for basic record storage), 1 deal pipeline, contact website activity tracking, prospects, deal tracking, ad management, forms, 10 custom properties, and 10 active lists (or up to 5 active lists and 1,000 static lists). However, HubSpot’s free tier imposes several structural boundaries:
- Marketing emails sent from the free tier are capped at 2,000 email sends per month and carry HubSpot branding.
- Essential operational capabilities—including repeating tasks, task queues, basic sales automation, and 1:1 technical support—are omitted from the free plan and require upgrading to Sales Hub Starter.
- Certain Gmail integration features require paid Sales Hub seats.
Upgrading to HubSpot’s paid ecosystem introduces different pricing mechanics than Capsule. HubSpot Sales Hub Starter plans start from £18 per user per month (or $15 to $3,600+ per month across broader platform tiers). HubSpot also offers a CRM Suite Bundle at £60 per month (pay monthly), which bundles Starter tiers for Marketing Hub (3,000 contacts), Sales Hub (2 users), Service Hub (2 users), CMS Hub, and Operations Hub. For a case study of 6 Sales Hub users, pricing starts at £79 per month (£948 per annum) pay monthly, which increases to £96 per month if the contact tier grows to 5,000 contacts.
As organizations scale into HubSpot’s higher software tiers, expenses ramp up rapidly. Automatically assigned "marketing contacts" incur additional monthly fees, project management boards require upgrading to Customer Hub, and mandatory onboarding fees can exceed £1,000, pricing out businesses with strictly limited budgets.
Job 3: Outbound Prospecting and Data-Driven B2B Pipeline Generation
Neither Capsule CRM nor HubSpot generates raw B2B contact lists or buyer intent data directly out of the box. Capsule and HubSpot are built to manage customer relationships after a contact or lead has been acquired. If your growth is bottlenecked by a lack of verified prospect data rather than poor internal record-keeping, you are hiring for an outbound prospecting job.
This gap is where AI Go-To-Market (GTM) intelligence platforms like ZoomInfo operate. While Capsule and HubSpot organize your internal pipeline, ZoomInfo fills it by maintaining a database of 500 million searchable B2B contacts, 100 million companies, 135 million+ verified phone numbers, and over 200 million verified business email addresses.
ZoomInfo's GTM Context Graph pairs internal CRM records with external behavioral intent signals—analyzing 210 million IP-to-org pairings and over 6 trillion keyword signals to identify which accounts are actively researching solutions. Sales and marketing teams interact with this data via GTM Workspace, GTM Studio, and API or MCP access. ZoomInfo offers a free tier through ZoomInfo Lite (limited to 10 exports per month), while paid plans use custom, consumption-based pricing. With 120+ native integrations, ZoomInfo acts as an intelligence layer feeding verified B2B leads directly into core CRMs like Capsule or HubSpot.
Modern CRM Architecture: Combining Modular Tools vs. Committing to an All-in-One Ecosystem
When choosing software, organizations must decide whether to adopt a single all-in-one platform or pair a simple core CRM with specialized add-on tools.
For small businesses choosing Capsule CRM, email marketing and automation are handled through dedicated integrations rather than expensive multi-hub upgrades. Capsule features an intuitive interface for filtering contacts into lists, allowing users to update an integrated Mailchimp list with one click or launch Gmail/Outlook to auto-paste contact addresses into the BCC field.
- Mailchimp Integration: Capsule users can integrate Mailchimp Free or Essentials (£23.30/month for 2,500 contacts, or £280 per annum) to execute targeted email campaigns.
- Transpond Add-on: Small teams wanting built-in email marketing automation alongside Capsule can add Transpond starting at $11+ per month.
- Zapier & Integrations: Capsule maintains over 100 native integrations alongside full Zapier support.
By contrast, HubSpot provides built-in targeted email sending directly within its Marketing Hub, backed by 2,000+ native ecosystem integrations (though user reviews rate HubSpot’s Zapier integration at 3/5 stars).
Salesforce Essentials handles targeted email outreach using native List Emails (allowing bulk sends to up to 5,000 recipients per day formatted like standard Gmail/Outlook messages). For advanced HTML drag-and-drop marketing emails, Salesforce users must integrate Campaign Monitor, which requires upgrading to Salesforce Professional Edition starting at £60 per user per month (billed annually). Data imports in Salesforce are managed via a built-in import wizard or third-party tools like the Apsona app, which offers a 30-day free trial.
The Direct Decision Rule: Which CRM to Hire for Your Specific Operating Constraints
To make a definitive buying decision, align your selection directly with your team size, budget predictability, and primary operational job:
- Select Capsule CRM if you have 1 to 20 users and prioritize simplicity, low software overhead, and fast setup. Capsule is the ideal pick for small service businesses and consultancies that need clean pipeline management, built-in task tracking, and straightforward data migration from spreadsheets or Xero. Start with Capsule’s Free plan (2 users, 250 contacts) to test usability (9.4/10 G2 rating), or choose the Professional Edition (£12/user/mo for 50,000 contacts) or Starter Plan (£14–£17/user/mo) to unlock project management boards, custom DataTags, and Mailchimp integration without risk of unexpected onboarding fees.
- Select HubSpot Sales Hub if you have 20 to 2,000+ users and require unified inbound marketing, web forms, lead scoring, and multi-department service management. HubSpot is the right choice for scaling companies willing to trade interface simplicity for platform breadth. Start with the free tier to utilize basic form capture and contact tracking, but budget for £18/user/mo Sales Hub Starter seats or the £60/mo CRM Suite Bundle once your team requires repeating tasks, task queues, automated outreach, and dedicated technical support.
- Select Salesforce Essentials if you require structured case management and ticket logging within a 10-user limit. At $25 to $35 per user per month (£157/mo for 6 users), it bridges small business management with enterprise record structures. If you are a registered non-profit charity, bypass Essentials to claim 10 free user licenses for Salesforce Enterprise Edition via the Nonprofit Success Pack.
- Pair ZoomInfo alongside your chosen CRM if your primary growth bottleneck is finding net-new business. Use ZoomInfo Lite or custom consumption plans to access 500 million B2B contacts and buyer intent signals, feeding prospective lead data directly into Capsule or HubSpot for pipeline tracking.
