Introduction to eLearning Gap Analysis
A gap analysis is a strategic evaluation tool used to identify the variance between current organizational performance or learner capabilities and the desired future outcomes. In the context of eLearning, a gap analysis helps training managers and instructional designers pinpoint exact knowledge, skill, or performance deficiencies so that digital learning programs can be precisely targeted, avoiding wasted resources on unnecessary training.
The Four-Step Process of Conducting an eLearning Gap Analysis
To build an impactful digital course, you must systematically diagnose what is missing before writing a single script or designing a slide.
• Step 1: Define the Current State
o Assess existing employee or student skill levels through surveys, quizzes, performance reviews, or system audits.
o Determine what training has already been completed and what data currently exists within your Learning Management System (LMS).
• Step 2: Establish the Desired State
o Identify business goals, compliance requirements, or performance benchmarks that learners need to achieve.
o Establish clear competency frameworks and measurable learning objectives.
• Step 3: Identify the Gaps (The "Missing Link")
o Compare the current state against the desired state to discover where the deficiencies lie.
o Determine whether the issue can be solved via eLearning, or if it requires structural, environmental, or motivational changes.
• Step 4: Design the Targeted eLearning Solution
o Select the appropriate digital delivery format (e.g., interactive modules, scenario-based branching, microlearning, or performance support tools) to bridge the specific gap.
Benefits and Best Practices
Benefit Description
Cost Efficiency Focuses budget only on training modules that address genuine needs.
Higher Engagement Learners stay motivated because the content directly addresses their professional struggles.
Measurable ROI Makes it significantly easier to measure post-training performance improvements.
Pro Tip: Involve key stakeholders—such as subject matter experts (SMEs) and team leads—early in the gap analysis phase to ensure your eLearning objectives align tightly with real-world operational challenges.
