Skills section done right: what to include and what to cut

Why the skills section matters

Hiring managers spend an average six seconds scanning a resume before deciding whether to dig deeper. In that tiny window, the skills section is your fastest way to prove you’re a match for the job. Recruiters use keyword‑matching software, and ATS (Applicant Tracking Systems) look for exact phrases that appear in the posting. A well‑crafted skills list can push your resume past the bots and straight into a human’s hands.

Pick the right skills – quality over quantity

• Match the job description – Pull the top 5‑7 hard skills that appear repeatedly in the posting. If the ad mentions “SQL, data modeling, and Tableau,” those should be front‑and‑center.
• Show depth, not just buzzwords – Instead of listing “Project Management,” specify the methodology you use, such as “Agile Scrum (Scrum Master Certified).”
• Balance hard and soft skills – Hard skills demonstrate technical ability; soft skills demonstrate how you work with others. Keep the ratio around 70 % hard / 30 % soft for most roles.

Hard‑skill checklist

Soft‑skill checklist

• Communication (written & verbal)
• Problem‑solving
• Leadership / Team Management
• Adaptability
• Time Management

How to structure the section

1. Use a two‑column layout

Technical Skills | Interpersonal Skills
--------------------------|-----------------------
SQL | Communication
Python | Problem‑solving
Tableau | Leadership

A side‑by‑side format saves space and makes scanning easier. Most modern templates on ResumeOrbitz already include this layout, but you can also create it with a simple table in Word or Google Docs.

2. Group related skills

Don’t dump a random list of 20 items. Cluster them by function (e.g., “Programming Languages,” “Data Visualization Tools”). This signals organization and lets ATS match groups more accurately.

3. Add proficiency levels sparingly

Only include levels if they add value and you can back them up. Use concise descriptors like “Advanced,” “Intermediate,” or “Certified.” Example:

• SQL – Advanced (10+ years, PostgreSQL & MySQL)

Avoid vague scales such as “Expert” without evidence; they can raise red flags in interviews.

What to cut

1. Outdated technologies – If you haven’t used a language or tool in the past 3‑4 years, remove it. “Flash” or “COBOL” rarely help modern recruiters.
2. Generic buzzwords – Words like “Team Player,” “Hard‑working,” or “Detail‑oriented” belong in the experience section, not the skills list.
3. Redundant synonyms – “Project Management” and “Program Management” often overlap; pick the one that aligns with the job.
4. Overly niche skills – If a skill appears only once in the posting and you’re not a core requirement, it’s safer to omit it.
5. Personal hobbies – Unless directly relevant (e.g., “Competitive Chess – Strategic Thinking”), keep hobbies out of the skills section.

Concrete examples

Example 1 – Marketing analyst (mid‑level)

Job posting highlights: SEO, Google Analytics, Tableau, A/B testing, stakeholder communication, data storytelling.

Bad skills list:

SEO, Marketing, Google Analytics, Data Analysis, Communication, Teamwork, Microsoft Office, Photoshop, Content Creation, Project Management

Revised skills list (two‑column):

What changed? The revised list mirrors the posting, groups related tools, adds proficiency, and replaces vague terms with concrete interpersonal abilities.

Example 2 – Junior software engineer

Job posting highlights: Java, Spring Boot, REST APIs, Git, Agile, problem solving, code review.

Bad skills list:

Java, C++, Python, HTML, CSS, JavaScript, Git, Agile, Team Player, Fast Learner, Good Communicator

Revised skills list:

What changed? The list drops unrelated languages (C++, Python, HTML/CSS) and vague soft skills, focusing on the exact stack the employer wants.

Example 3 – Finance manager

Job posting highlights: GAAP, Financial Modeling, SAP, Excel, leadership, strategic planning.

Bad skills list:

Finance, Accounting, Excel, PowerPoint, Leadership, Teamwork, SAP, QuickBooks, Budgeting, Reporting

Revised skills list:

What changed? The revised version adds certifications, aligns with the posting, and consolidates overlapping terms (Budgeting & Reporting become part of “Financial Modeling”).

Quick checklist before you hit “Save”

• [ ] Tailor to the posting – Every skill appears in the job ad or is a direct support.
• [ ] Limit to 8‑12 items – Anything beyond that dilutes impact.
• [ ] Use columns or tables – Improves readability and ATS parsing.
• [ ] Add proficiency only when you can prove it – Certifications, years of experience, or measurable results.
• [ ] Remove anything older than 3‑4 years – Keep the list current.
• [ ] Proofread for spelling – “SQL” vs “S Q L” can break keyword matches.

By treating the skills section as a targeted, data‑driven snapshot of what the employer needs, you turn a static list into a strategic weapon. Remember: relevance beats length, and clarity beats cleverness.
