I found out a help article was dead the usual way. A customer dropped the link in Slack with a red face emoji. The URL was still in our onboarding email, our Intercom macros, and three Notion checklists. The page returned 404.
Nobody meant to break docs. Someone cleaned up an old category, renamed a slug, and called it housekeeping. The public link never got the memo.
Help centers rot one click down
The help center homepage can look healthy for months. The mess lives one click deeper:
- an article slug that got renamed
- a category that moved under a new parent
- a "related article" card still pointing at the old path
- a support macro that embeds a URL from 2023
Google Alerts on your product name will not catch this. A status page will not catch this. Your users will, and they will paste it where everyone can see.
Monday spot checks do not scale
I used to open five "important" help URLs every Monday. Fine when we had a handful of macros. Then we hit forty macros and a seasonal promo that linked a guide I had forgotten existed.
Refreshing by hand is how a dead link sits live for two weeks while new users hit it on day one of onboarding.
Watch the article URLs that get shared
Paste the public help URLs that already show up in email, chat macros, and product empty states. Ask a watcher to tell you when the page content changes, or when the page stops looking like an article at all.
I use AyeWatch for that. Free Preview is $0 with 3 topics and 6 lifetime runs. Pro is $9 a month.
When it fires I open the URL, confirm the 404 or the rewrite, fix the macro, and only then reply to the customer who already saw it.
Start with the links that hurt
Do not watch every article in the help center. Watch the ones people actually paste:
- the top five links in your support macros
- the URLs in welcome and billing emails
- the empty-state "learn more" links in the product
- your own getting-started guide, because that one lives in someone's bookmark forever
A help center can smile on the homepage and still ship a 404 to a new user. Get the alert on the article URL, not on how cheerful the landing page looks.
