If you go looking for whether you can run a chapter through a rewriting tool, you will find the AI policy. That is usually the wrong document. The one that decides it was written for professional editors, sits under a name like third-party editing, and at one university now has GenAI written into the same sentence as the human editor.
I read three of them end to end. We sell a rewriting tool and the first of the three rules ours out entirely, which I would rather say here than have someone find out after submission.
The short answer
Often yes, and at least one university says so in as many words. The University of Auckland's guidelines on third-party editing of theses cover "professional editors, and/or the equivalent use of GenAI", and their restrictions include a heading that reads "No writing or rewriting": third parties or GenAI "must not write or rewrite any part of the thesis or dissertation." If you are looking for the rule that governs whether you can run your thesis through a rewriting tool, that is the document, not the AI policy.
The document you are probably not reading
Universities have spent three years writing AI policies. They spent the twenty years before that writing rules about paying somebody to tidy up your thesis. The second set is older, more specific, and in several cases has now had a line added that pulls software into it.
It is filed under names like third-party editing, thesis proofreading and editing, or use of editorial assistance, usually inside the graduate research or research-conduct part of the policy hub rather than anywhere near the teaching-and-learning AI guidance. It applies to theses and dissertations, which is narrower than all your assessed work, and that narrowness matters: the rules below say nothing about a coursework essay.
Three published documents are quoted here. They do not agree with each other, which is the useful part.
Auckland: GenAI in the same box as a human editor
The University of Auckland's Third Party Editing and Proofreading of Theses and Dissertations Guidelines open by stating their scope:
"These guidelines clarify the contribution permitted by third parties, including professional editors, and/or the equivalent use of GenAI, in the preparation of theses and dissertations by postgraduate candidates at the University."
And they say the equivalence is deliberate: the guidelines "must be adhered to regardless of whether using human or GenAI writing assistance."
Its own definition of the term is worth having, because it is wider than the market: "Third parties are people you ask for help, other than your supervisors. Third parties may be fellow students, reading groups, friends, parents, University staff, or professional editing services."
What is permitted is short. Third parties or GenAI may correct spelling and punctuation, and may assist with grammar and syntax, the expression of numbers and statistical data, italics and capitalisation and hyphenation, shortened forms, and the display of lists and quotations. Beyond that they may "scrutinise and offer advice" — on clarity and readability, where they "may suggest improvements to avoid ambiguity, repetition and verbosity", on tables and illustrations, and on the completeness and internal consistency of references.
Then the restrictions. There are four, each under its own heading, and the headings are as blunt as the text.
Under No contribution to intellectual content:
"Third parties or GenAI must make no contribution to the intellectual content of the thesis or dissertation other than those disclosed and justified within the thesis or dissertation."
Under No writing or rewriting:
"Third parties or GenAI must not write or rewrite any part of the thesis or dissertation."
Under No calculations:
"Third parties or GenAI must not perform numerical calculations included in the thesis or dissertation, other than those disclosed and justified within the thesis or dissertation."
Under No structural changes:
"Third parties or GenAI may not make corrections to the structure of the thesis, though they may draw structural problems to the candidate's attention for the candidate to address."
There is no reading of the second one under which running a thesis chapter through a rewriting tool is fine at Auckland. We sell a rewriting tool, and it is still no.
One detail about the document's age, because it is the kind of thing people assume: it was approved in March 2018, and its own management block records a review on 6 March 2026, with the next one due in 2031. It is not a pre-AI text that nobody has looked at. Somebody looked at it this year and left "Third parties or GenAI must not write or rewrite any part" standing.
The rule most people miss is about delivery, not content
The Auckland document has a section headed "Working Methods: Tracked Changes and Comments", and it is doing something the permitted-changes list does not.
Spelling, punctuation and grammar may be corrected directly: "Third parties or GenAI tools may directly correct errors in spelling, punctuation and grammar." Everything else falls under a heading reading Any further suggested amendments, and the rule is:
"Must be indicated using comment tools rather than making direct changes. This ensures the candidate actively considers and makes decisions about all substantive suggestions."
And under Record keeping:
"The candidate must retain a copy of their original draft and a record of all third-party or GenAI comments. The candidate must fully consider all comments and independently decide which advice to accept."
Notice what that rule measures. Not whether the change would have been allowed — whether you were the one who made it. A tool that hands back a finished file has already made those decisions, and the rule is broken by the shape of the artefact rather than by anything in the wording it produced.
Canterbury: everything arrives as a suggestion
The University of Canterbury's Thesis Proofreading and Editing Guidelines (UCPL-4-24, last modified September 2025) put the AI question directly:
"Artificial Intelligence (AI) tools are considered as third-party assistance when used to provide advice regarding editing, copy-editing or proofreading and must be acknowledged as such."
Canterbury then splits the work into three — editing, copy-editing, proofreading — and calls them "best conceived as a continuum, which spans from shaping the content and structure of the thesis at one end to correcting spelling and grammatical errors at the other."
It does not close any of the three to outsiders. What it does instead is put one condition over all of them:
"The supervisory team will support the editing process by providing feedback and writing advice. Additional advice can also be sought from third-party providers. All advice provided, whether from supervisors or third parties is provided as suggestions, with the decision to implement them resting with the student."
That is the same requirement Auckland writes as a mechanic, written here as a principle. Auckland says use comment tools; Canterbury says everything is a suggestion and you decide. Neither of them is regulating the wording. Both are regulating who did the deciding.
The definition of editing is worth reading alongside it, because it is where re-writing lives:
"Editing is a continuous aspect of the thesis-writing process which centres around the student arranging and revising any part of the thesis to ensure the clarity and integrity of an argument and to optimise the flow of the material. This may include re-writing arguments, and making structural changes as well as checking the language, completeness, and consistency of the document. As such, it may result in the creation of new text and substance."
Re-writing sits inside editing, and editing centres on the student. The document also warns that "both editors/proofreaders and digital tools can miss or introduce errors into the thesis, and it is each student's responsibility to ensure that their writing communicates the intended meaning in correct academic writing." And it closes the loop on consequences: "Inappropriate use of third-party assistance may result in an investigation in line with the Academic Misconduct Regulations."
Directly under that definition of editing, Canterbury prints a paragraph that applies only when the third party is a machine:
"Text or content generated by AI tools may be used in the information gathering process. However, content created by AI cannot be included in the thesis as the student's own, original work without undergoing a review and revision process that adapts and modifies this content. Furthermore, as only authoritative work that is verifiable should be referenced, the use of generative AI tools to produce text should not be cited."
The introduction adds more of the same kind: it is "recommended that students use UC-endorsed AI tools", and students are sent to nine university principles on AI before they start. So Canterbury does impose conditions that exist for no reason other than that the assistance is software. And of everything quoted in this article, that middle sentence lands closest to a file that comes back rewritten. What a tool hands you is not your own work yet. What makes it yours is a review and revision process that adapts and modifies it, and that work starts after the tool has finished.
IPEd: the widest band of the three
The editing profession has its own standard. The Institute of Professional Editors publishes guidelines for editing theses — the July 2025 edition, descended from a document first written in 2001 with the forerunner of the Australian Council of Graduate Research.
Read it for what an editor's trade body is willing to sell, not for what your university permits. It says so itself: "Students, supervisors and editors should also be aware of any university-specific guidance on thesis editing." The arrow points from this document back to your institution's, not the other way round.
Its scope rule:
"Professional thesis editing services should be restricted to copyediting and proofreading, as described in the Standards under 'The fundamentals of editing' and detailed in Part D (Language and illustrations) and Part E (Completeness and consistency). On matters of content, substance and structure (Part C of the Standards), editors may draw attention to any issues they encounter but may only offer examples or comments to guide the student."
What copyediting is allowed to reach, in its list, includes "clear expression (e.g. removing ambiguity, wordiness and needless repetition)", "clear and logical connections between phrases, clauses, sentences, paragraphs and sections", "correct formatting of citations and references for sources and quoted material", and "appropriate use of technical and specialised terminology, including discipline-specific terms, abbreviations and units of measurement".
Of the three documents here, that is the most generous account of what somebody other than you may do to your sentences, and it still stops at the same wall: "Editors should not make corrections to the content, substance or structure of the thesis (Part C of the Standards), although they may note issues for the student's attention."
Two more lines worth having. On the format the work travels in: the thesis "should be provided for editing in electronic form, such as a Word document, so changes can be tracked by the editor and efficiently reviewed by the student". That is not quite Auckland's rule — Auckland requires substantive amendments to arrive as comments, IPEd asks that the file be one where an editor's changes remain visible — but both are asking that the changes stay separable from the text until you look at them. And on where responsibility lands: "Students have final responsibility for their entire thesis, including meeting all their university's integrity and other requirements and guidelines."
One line cuts against the assumption that an editor is a safety net: "The editor is not responsible for identifying issues of content, such as checking facts, references to others' work, plagiarism and AI-generated content."
The word that decides this is "rewrite", not "AI"
Line the three documents up and the AI question turns out to be secondary.
Auckland bans rewriting by anyone who is not you, then adds GenAI to the list of people who are not you. Canterbury lets advice come from third parties across all three stages and puts one condition over all of it: it arrives as a suggestion and you decide. IPEd restricts the professional editor to copyediting and proofreading, which permits reworking a sentence for clarity but not restructuring an argument.
Only Canterbury adds a requirement that exists because the assistance is software, and even that one asks you to do something rather than asking what the helper was: review and revise the output before it goes in as your own work. Auckland goes the other way explicitly, binding the same rules whether the helper is human or GenAI. Being a machine can earn you an extra paragraph to read. What decides the answer, in all three, is which verb describes what happened to the text, and whether you were the one who decided each change.
Which means the question to ask about a tool is not "is this AI" but two other questions: what is it allowed to do to a sentence under my institution's document, and does it hand me a decision or a result.
Three tests to run on your own institution's rules
- Find the document, not the policy. Search your institution's site for "third party editing", "thesis editing", or "proofreading" plus "thesis". Check the date on what comes back, and check both dates: the Auckland guidelines were approved in 2018 and reviewed in March 2026, Canterbury's were last modified in September 2025. A document with an old approval date may still be the current one, and may have been read again more recently than it looks.
- Find the verb. Read for what is permitted at the level of the sentence. "Correct", "suggest", "draw attention to" and "rewrite" are four different permissions, and the list of permitted verbs is usually shorter than the list of permitted topics.
- Find the delivery requirement. Look for tracked changes, comments, "suggestions", or a requirement to keep the original draft. This is the rule a rewriting tool is most likely to break silently, because it is a rule about the file you get back rather than about the words in it.
Then, separately, check what you have to declare. That is a different obligation with a different answer, and we wrote it up in does rewriting change what you declare.
Our own tool against those three documents
On a thesis at Auckland, out. The restriction is explicit and it is not softened by scope, disclosure, or how careful the tool is. We would rather say that than have you find it after submission.
Elsewhere the fit is narrow, and it is the delivery rule rather than the rewriting that sets the shape. What all three documents want in the end is the same: the change reaches you as something you can accept or refuse, before it is part of your thesis. Auckland adds two specifics on top — amendments as comments rather than direct edits, and keep a copy of your original draft.
Measure HumanPen against that and it does one half and not the other.
The half it does is location. A partial selection is expanded to whole paragraphs and, in our own page's words, "shown that way for you to confirm" before anything runs. That is the list of places, in advance. Your original file also stays where it was, which covers the first half of Auckland's record-keeping rule — the copy of your original draft, not the record of comments.
The half it does not do is the one the rule is actually about. What comes back is a finished document, not a set of comments you accept one by one. You see which paragraphs, not what they will become, and by the time you can read the new wording the change has already been made. If your institution's working-method rule says amendments must arrive as suggestions, read that as a gap in what we do rather than as a technicality about file formats.
We do not resolve the rest. Our ethics page says: "We do not interpret those rules, and we do not declare any use 'fine'. Your institution's academic integrity policy and your target journal's author guidelines are the authority."
Frequently asked questions
Does this apply to my coursework essay? The three documents quoted here govern theses and dissertations. Coursework is usually covered by a different instrument at the same institution. Do not carry a thesis rule into an essay, or the reverse.
Is it only postgraduate research that is restricted this tightly? In these three documents, yes — they are written for research candidates. That is also where the money and the professional editing market are, which is why the rules exist there first.
If a tool only fixes grammar and spelling, is that allowed? Under Auckland's working-methods section, corrections to spelling, punctuation and grammar may be made directly, while anything further has to arrive as a comment for you to consider. Which is a narrower permission than "grammar tools are fine".
Does acknowledging the tool make rewriting acceptable? Not at Auckland. Acknowledgement is required there and rewriting is prohibited there; they are separate requirements and satisfying one does not satisfy the other.
My university has no document like this. Then the governing text is your academic integrity policy plus whatever your supervisor and your programme require in writing. IPEd's own guidelines point you the same way. Ask before submission rather than after, and keep the answer.
