Multi-tenancy is the single most consequential decision in any SaaS build, and it is the one founders never hear about until it causes pain. It is the difference between one customer's data accidentally appearing in another customer's dashboard and that simply never being possible. Between adding your hundredth customer for almost nothing and your infrastructure bill scaling linearly with every signup.
A multi-tenant application is one codebase, and usually one running system, that serves many separate customers, called tenants, each of whom must feel like they have the software to themselves. This guide is the developer-honest walk through how to build that: the isolation models and their trade-offs, how to keep one tenant's data truly separate from another's, tenant routing, per-tenant billing, scaling, and the security mistakes that leak data.

What 'multi-tenant' actually means
Single-tenant means each customer gets their own separate copy of the application and database. Simple to reason about, expensive to run and update, because every customer is a deployment. Multi-tenant means one application serves all customers, with their data logically or physically separated so nobody can see anyone else's. Almost every modern SaaS is multi-tenant, because it is how you serve a thousand customers without running a thousand servers.
The whole craft of multi-tenancy is answering one question well: how separate is each tenant's data, and where is that separation enforced? Get it right and you scale cheaply and safely. Get it wrong and you either overpay massively, or far worse, you leak one customer's data to another.
The three isolation models
There are three classic ways to separate tenants, from most shared to most isolated. This is the core architectural decision, so it is worth understanding all three:
1. Shared database, shared schema (pooled)
Every tenant's rows live in the same tables, separated by a tenant_id column on every row. One database, one schema, a tenant_id everywhere. This is the cheapest and easiest to operate, scales to many tenants, and makes cross-tenant analytics trivial. The catch: isolation is enforced entirely in your code, so a single query that forgets to filter by tenant_id leaks data. Most SaaS start here, and most should.
2. Shared database, schema per tenant
One database, but each tenant gets their own set of tables (their own schema or table prefix). Stronger isolation than a shared schema, and you can still manage a single database server. The cost is migration complexity: every schema change has to run across every tenant's schema, and Postgres or MySQL start to strain at thousands of schemas. A reasonable middle ground for tens to low hundreds of tenants with higher isolation needs.
3. Database per tenant (siloed)
Each tenant gets their own database, sometimes their own server. The strongest isolation, the easiest per-tenant backup and restore, and the cleanest story for data residency and compliance. Also the most expensive and operationally heavy: hundreds of databases to migrate, monitor, and back up. Used for enterprise SaaS, regulated industries, or a small number of high-value tenants.
Many mature products end up hybrid: pooled for small customers, a dedicated database for the big enterprise client who demands isolation. Tenancy is not one choice forever; it is a spectrum you can move along.
How to choose the model
Pick based on four things: number of tenants, data sensitivity, compliance requirements, and budget.
- Start pooled (shared schema) when: you expect many small-to-mid tenants, data is not highly regulated, and you want the cheapest path to scale. This covers most Indian SaaS.
- Go schema-per-tenant when: you have moderate tenant counts and want stronger isolation without running hundreds of databases.
- Go database-per-tenant when: tenants are few and high-value, data is sensitive or regulated, or a customer contractually requires their data physically separate.
The honest default for a new product is shared-database, shared-schema with a disciplined tenant_id, and the ability to peel a big tenant out into their own database later. Do not build database-per-tenant for customers you do not have yet.
Getting tenant isolation right (the part that bites you)
In a pooled model, the entire safety of your product rests on one rule: every single query is scoped to the current tenant. The day someone writes a query that forgets to filter by tenant_id, one customer sees another's data, and that is the kind of bug that ends SaaS businesses. So you do not rely on remembering. You make it automatic.
- Global query scopes. In Laravel, a global scope on every tenant-owned model that injects the tenant_id filter automatically. In an ORM like Prisma or Sequelize, middleware that does the same. The default is scoped; you opt out deliberately, never opt in by remembering.
- Tenant context per request. Resolve the tenant once at the start of the request, store it in a request-scoped context, and have the scopes read from it. Never pass tenant_id around by hand.
- Row-level security where the database supports it. Postgres row-level security can enforce tenant isolation at the database layer, so even a buggy query cannot cross tenants. A strong second line of defence behind application scopes.
- Tests that try to leak. Write tests that deliberately attempt cross-tenant access and assert they fail. This is the one area where the test matters as much as the feature.
The rule of thumb: if isolation depends on a developer remembering to add a filter, it will eventually break. Make the safe path the default path.
Identifying and routing the tenant
Before any query runs, the app has to know which tenant this request belongs to. The common strategies:
- Subdomain: acme.yourapp.com. Clean, common, and easy to resolve from the host header.
- Path prefix: yourapp.com/acme/. Simpler DNS, slightly uglier URLs.
- Custom domain: app.acmecorp.com pointing at you. Premium feel, needs a domain-to-tenant mapping and SSL automation.
- Token or header: the tenant is encoded in the auth token, common for API-first and mobile-backed products.
Whatever you pick, the flow is the same: resolve the tenant from the request, load its context (and for database-per-tenant, switch the database connection), then proceed. For siloed tenancy, connection switching per request is the extra moving part, and connection pooling needs care so you are not opening a fresh connection per tenant per request.
Per-tenant billing, plans, and entitlements
Multi-tenant SaaS is where architecture meets money. Each tenant is on a plan, and the plan decides what they can do and what they pay. Three pieces:
- Subscriptions. Each tenant has a plan and a billing cycle, usually through Razorpay Subscriptions or Stripe. The webhook updates the tenant's status (active, past-due, cancelled), which gates access.
- Entitlements and feature flags. What a tenant can do (seat limits, feature access, usage caps) is driven by their plan, checked centrally, not scattered through the code. Upgrading a plan should change behaviour without a deploy.
- Usage metering. If you bill by usage (API calls, storage, messages), you meter per tenant and feed it into billing. This is where multi-tenant SaaS overlaps directly with a billing system.
A clean entitlements layer is what lets sales sell a new tier on Monday and have it work on Monday, instead of waiting for an engineering deploy.
Authentication and roles across tenants
Users belong to tenants, and a single person can belong to more than one (a consultant who works with three client companies, for example). So the model is usually a user, a tenant, and a membership that connects them with a role. Authentication proves who the user is; the tenant context decides which tenant they are acting in right now; and the role decides what they can do inside it. Super-admin (your own staff) is a separate layer that can cross tenants for support, and that access must be logged carefully, because it is the one legitimate way to cross the isolation boundary.
Scaling and the noisy-neighbour problem
In a pooled system, all tenants share resources, so one heavy tenant can degrade everyone. Things that keep multi-tenant systems healthy as they grow:
- Tenant-scoped caching. Cache keys must include the tenant_id, or you serve one tenant's data to another from cache, which is the same leak in a different layer.
- Per-tenant rate limits and queues. So one tenant running a huge import does not starve everyone else's background jobs.
- Indexing on tenant_id. Every tenant-scoped query filters on it, so it belongs in your composite indexes, or queries slow down as data grows.
- Peeling out big tenants. When one customer is large enough to threaten the rest, move them to their own database. This is why starting pooled but designing for extraction matters.
Scaling the infrastructure for this (connection pooling, read replicas, autoscaling, caching) is its own discipline; it is the cloud and DevOps side of a SaaS build.
Migrations, provisioning, and onboarding
Two operational realities that a shared schema makes easy and isolated models make hard. Migrations: with a shared schema, a migration runs once. With schema-per-tenant or database-per-tenant, it has to run across every tenant, ideally as a safe, resumable, monitored job, because a half-applied migration across 300 databases is a bad afternoon. Provisioning: onboarding a new tenant should be automatic, creating their records (and for isolated models, their schema or database, plus running migrations and seeding defaults) in one signup, not a manual checklist.
Security and compliance
Tenant isolation is the headline security property of a SaaS, and the one auditors and enterprise buyers ask about first. Beyond the query scoping already covered: encrypt data at rest and in transit, keep per-tenant audit logs (who did what, especially super-admin access across tenants), and be able to export or delete a single tenant's data on request, which is far easier with isolated models and a real chore with a shared schema. If you serve regulated industries or customers with data-residency rules, that pressure often pushes you toward database-per-tenant for those specific customers. Decide early, because retrofitting isolation onto a pooled system later is painful.

Isolation must be the default, not something a developer adds by hand.
How does billing work in multi-tenant SaaS?
Each tenant is on a plan with a subscription (usually via Razorpay or Stripe), and a webhook keeps their status current. Can a multi-tenant app handle custom domains per customer?
Yes. You map each custom domain to a tenant and automate SSL certificate issuance (via something like Let's Encrypt). The request resolves the tenant from the domain just as it would from a subdomain. It is a common premium feature; the main work is the domain-to-tenant mapping and certificate automation.
How much does it cost to build a multi-tenant SaaS in India?
It depends heavily on scope, but the multi-tenant foundation (tenant model, isolation, auth and roles, plans and billing, a basic admin) is a meaningful slice of an MVP rather than a weekend job. The honest move is to scope the specific product. Building the tenancy correctly early is far cheaper than retrofitting isolation after launch, which is one of the most expensive rewrites in software.
