Why Your API Workflow Is Broken (And How to Fix It With Plain Text)

You know that moment when you're onboarding onto a new project, someone says "the API collection is in Postman," and your heart sinks a little? You need to create an account, sync a workspace, hope you have the right permissions, and pray that whoever wrote those requests actually kept them updated.

I've been there more times than I can count. And after watching three different teams struggle with the same problems over the past year, I finally ripped out our entire GUI-based API workflow and replaced it with something that lives right next to our code.

Here's why — and exactly how you can do the same.

The Root Problem: API Definitions Shouldn't Live in a Cloud Silo

The core issue isn't that GUI API clients are bad tools. They're often excellent for quick one-off requests. The problem is when teams adopt them as the source of truth for API workflows. That's when things fall apart.

Here's what typically goes wrong:

• Version drift. Someone updates the API but not the collection. Now you're debugging phantom 400 errors because the saved request has a stale payload schema.
• Collaboration friction. Collections sit in a proprietary cloud format. You can't diff them. You can't review them in a PR. You can't git blame to figure out who changed the auth header last Tuesday.
• Environment variable hell. Managing dev/staging/prod environments across a GUI tool means clicking through settings panels instead of just switching a .env file.
• Vendor lock-in. Your team's entire API knowledge is trapped in a format controlled by someone else's pricing page.

The fix isn't finding a better GUI. It's treating API requests like what they actually are: code artifacts that belong in your repo.

Step 1: Adopt a Plain-Text HTTP Format

The .http file format (sometimes called RFC 9110 shorthand) is dead simple and supported by multiple editors natively. Here's what it looks like:

That's it. No binary blobs. No proprietary JSON. Just plain text that any developer can read without installing anything.

VS Code has built-in support for .http files through the REST Client extension, and JetBrains IDEs support them natively in their HTTP Client. You click the play button next to any request, and it runs. Variables resolve from environment files.

Step 2: Version Your Environment Config

Create an http-client.env.json (JetBrains convention) or .env files for your environments. The key insight is separating public config from secrets:

Commit this file. Then create a separate http-client.private.env.json (gitignored) for tokens and secrets:

Add the private file to .gitignore. Now every developer on the team can see which environments exist and what variables they need, without anyone accidentally committing credentials.

Step 3: Use cURL as Your Automation Layer

For CI/CD pipelines, scripted testing, or when you just want to run something from the terminal, cURL is the universal API client. I keep a scripts/ directory with shell scripts for common workflows:

This runs in CI. It runs on your laptop. It runs on your coworker's machine without them creating an account anywhere. That's the point.

Step 4: Handle Complex Workflows With Scripting

The one legitimate advantage of GUI tools is chaining requests — grab a token from login, use it in subsequent calls. But you can do this just as cleanly in a script:

Yes, it's more verbose than clicking through a GUI. But it's also reproducible, reviewable, and automatable. Those three properties matter way more than saving a few keystrokes.

A Practical Migration Path

You don't have to burn everything down overnight. Here's the incremental approach that worked for my team:

1. Start with new endpoints. Any new API work gets documented as .http files in the repo, right next to the route handlers.
2. Export what you can. Most GUI tools let you export to cURL. Convert those to .http format and commit them.
3. Organize by domain. We use a structure like docs/api/users.http, docs/api/auth.http, etc. Some teams prefer colocating them with the source: src/routes/users/requests.http.
4. Add smoke tests to CI. Even a basic "hit every endpoint and check for non-5xx" script catches regressions that no amount of manual testing will.
5. Remove the old tool from onboarding docs. This is the real finish line. When new devs can be productive with just git clone and their editor, you've won.

When GUI Tools Still Make Sense

I'm not saying throw away every graphical client. They're genuinely useful for:

• Exploring unfamiliar third-party APIs where you're still figuring out the shape of the data
• WebSocket and GraphQL debugging where the protocol is more complex than a simple request/response
• Quick prototyping when you're not sure what you're building yet

The problem isn't using them. The problem is making them the system of record. Your API definitions should live where your code lives, in version control, reviewable by your team, executable without a proprietary runtime.

The Payoff

After moving three projects to this approach, here's what changed:

• Onboarding time for API-related tasks dropped significantly — new devs just read the .http files
• Zero more "which collection has the right version?" conversations
• API smoke tests in CI caught two breaking changes before they hit staging
• The entire API surface is now searchable with grep

The tooling crisis isn't really about any specific product. It's about the gap between how we manage code (version-controlled, peer-reviewed, automated) and how we've been managing API workflows (cloud silos, manual syncing, proprietary formats). Close that gap, and the crisis solves itself.
